The HR/ HS Administrator is responsible for a variety of administrative, clerical and internal information collection/reporting in support of the collective Human Resources (HR, Recruitment, Pool Resources and Health & Safety) Team. Duties/Responsibilities
- Support the HR Team with all transactional day to day functions.
- Full employee life-cycle maintenance based on standards: verification of all new hire packages for completion, work eligibility, confirmation of accuracy of employee change information, general file maintenance, leaves, etc…
- Follow up with station admins and managers in relation to documentation accuracy and standards.
- Leave tracking and action:
- Notification and monitoring of Leave of Absence starts, completions and interim internal and external communication.
- Medical, Maternity/Parental, Unpaid, LTD, etc
- Maintenance of employee files, including tracking and monthly updates to mangers.
- General communication, response and routing of internal and external Human Resources related inquiries from station managers, field administrators, and other parties.
- Draft general forms, letters, reports, and memos as necessary.
- Clerical support and creation / maintenance of employee profiles as required for RFQ’s.
- Help to ensure organization wide compliance with policies, procedures and applicable regulations.
- Support HS team relating to:
- New employees set up and document uploads.
- Follow up on expired / missing information in Work Hub.
- Support for tracking and responding to WCB admin duties (employee statuses)
- Locate filed materials upon request, ensuring that materials are given only to authorized parties.
- Eliminate unnecessary or outdated materials, destroying them or transferring them to inactive storage according to file maintenance / legal guidelines.
- Maintain strict confidentiality in relation to employee information
Required Qualifications
- High school diploma, GED, or an acceptable combination of education and experience
- Preference will be given to candidates with an Office Administration or Human Resources Certificate/Diploma
- A minimum of 1-2 years of direct work experience in a fast paced, high volume Office Administrative or Human Resources Role.
- Excellent working knowledge of Microsoft Office Suite: Excel, Word, and PowerPoint.
- Possess exceptional organizational skills, able to multitask effectively
- Proven ability to prioritize tasks and meet established deadlines
- Previous experience in the Work Hub, ADP, or HRIS in general.
- Must have above average oral and written communication skills, providing timely and concise information to others.
- Must be able to work independently and as part of a team, encourage excellence in others through being a positive influence in the development of others
- Customer focused, meets expectations internally and externally and forms partnerships
- Must have an understanding of basic HR and HSE principles, practice and terminology
- Has a keen eye for detail, can detect problem areas and recommend solutions and/or take corrective action when required
