Basic Job Function: Responsible for the non-prejudicial procurement of all goods, supplies and equipment to meet established specifications, safety and quality standards at the lowest possible cost. Ensures that all purchases are conducted in accordance to established procedures and with management approval. Maintains records, files and resources for reference.

 
Position Requirements

Essential Functions:

· Handle departmental purchase requests by securing management approval, obtaining competitive bids and preparing orders for the purchase of all supplies. Communicate and confirm all purchase orders with the vendor to ensure timely and accurate delivery.

· Work closely with each department head to become knowledgeable of the quality and quantity of their department’s supplies. Offer appropriate information on new or alternative products and suggestions for saving money. This includes reviewing reports to reduce inventory value and move slower items.

 

  • Maintain all records of previous and current purchases. Meet weekly and when necessary to approve and discuss all departmental requests. Work closely with management in controlling purchases and spending.

 

· Continuously build and fine tune the computerized database for items, suppliers and quotes. Assist with system upkeep to delete unused or redundant information as needed.

 

· Maintain communication with suppliers and manufacturers to ensure effective and competitive purchasing and to keep abreast of new products and goods. Meet with representatives and attend product shows as necessary.

 

  • Participate in HAACP efforts to ensure food safety, especially in relation to the safe ordering, receiving and storing of food. Conduct and maintain records of HAACP supplier audits to ensure compliance by partners higher up the supply chain.

 

 

  • Assist and handle purchasing activities for special renovation or upgrade projects that fall outside of the normal scope of operating goods and services.

 

 

  • Researches, develops and recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed.

 

  • Perform any other duties as assigned by the Director of Purchasing
  • Regular attendance is required for this position.

 

 

Additional Duties and Responsibilities:

 

  • Reports all suspicious persons or activities and hazardous or unsafe conditions to the Security Department.

 

  • Provides instruction and/or guidance for guest and employee safety in fire or other emergency situations.

 

  • Responds to guest questions. Provide guest assistance, direction and information as requested when working in public areas.

 

  • Represents the hotel at various functions and trade shows.

 

  • Participates and networks through key organizations as recommended by the Controller.

 

  • Performs a variety of other duties as assigned.

 

  • Compile a monthly report of achieved savings for management and the Executive Committee.

 

  • Provide Purchasing related information to other offices as needed

 

Education/Training Requirements:

 

    • High School Diploma or General Education Diploma required.

 

    • College degree in hospitality management or similar field preferred.

 

 

 

 

Experience/Skill Requirements:

  • One (1) to two (2) years Purchasing experience or three (3) to five (5) years in a variety of hotel management positions required

 

  • Experience in a first class, medium to large resort preferred.

 

  • Training in business negotiations/pricing preferred.

 

Licenses/Certifications:

 

  • Certification of tuberculosis clearance required.

 

  • CPR and Standard First Aid Certification preferred.

  • Ability to pay attention to detail, work in a fast paced environment, handle multiple tasks and have a high level of patience.
  • Ability to use sound judgment.
  • Ability to comprehend and follow oral and written instructions and procedures.
  • Ability to prioritize work.

 

  • Ability to access, understand and accurately input information using a moderately complex computer system.
  • Ability to operate a moderately complex computer system and various software such as Microsoft Word, Excel, Outlook, Fidelio and Group Wise.

 

 

Communication Requirements:

 

  • Ability to communicate effectively in English both verbally and in writing.
  • Ability to effectively deal with internal and external customers, some of whom will require high levels of maturity, patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.
