Do you have experience providing world-class, executive-level support, and have a desire to perform in a strategic role where you can leverage your strengths managing people, projects, and details to ensure the executive’s vision and goals are achieved? If you’re a people person, a self-starter, and are great at managing priorities…APPLY NOW! We are looking for an experienced Executive Assistant to support our visionary Chairman of the Board/Chief Executive Officer. Communication, organizational skills, and servant leadership are critical to being successful in this role.

In addition to standard Executive Assistant administrative duties, daily tasks are carried out at a higher level of complexity. The successful candidate will need to be self-motivated and proactive around the needs of the executive and be able to operate successfully with limited direction and ambiguity. He/she will be empowered to challenge the status quo and provide innovative/alternative ways of operating. He/she will also need to exercise critical and independent judgment when it comes to the executive’s calendar and time.

What You Will Do

Main Duties & Responsibilities

  • Manage all facets of executive’s schedule, including commitments to internal and external organizations/stakeholders; help ensure executive is at the right place, at the right time, prepared with meeting purpose and agenda; areas of responsibility include:
    • Scheduling meeting for appropriate length of time based on audience
    • Setting the agenda and scheduling prep meeting (if needed)
    • Preparing meeting materials
    • Preparing communications and technology requirements for all participants
    • Coordinating venue, facilities, and other accommodations, e.g., catering, snacks, beverages, etc.
    • Scheduling follow-up meeting or call as appropriate
  • Take initiative to continually update processes and systems, and implement new strategies to benefit the executive; work independently, make decisions and be a creative problem solver – not afraid to try new solutions
  • Responsible for scheduling and managing all travel details to ensure efficiency and contingency planning; remain “on call” during travel to assist with last-minute changes
  • Manage key resources and projects
  • Understand and demonstrate behaviors that reflect Brownells’ culture and values to all internal and external contacts
  • Apply an understanding of the organization’s formal structure, policies, regulations, products/services, and strategies to accomplish work tasks efficiently
  • Reinforce values and brand of executive’s high standards of ethical behaviors, acting with honesty and integrity, and through diplomatic and respectful communications

What You Will Need

Education & Experience

  • High school diploma, GED, or equivalent required
  • Ideally 10+ years of executive-level administrative experience
  • AA or BA/BS degree preferred, but not required
  • Experience with Board Effect and Trello (or other board/project management systems) preferred

 

Knowledge & Skills

  • Highly proficient in meeting coordination and Microsoft Office suite tools, including instant messaging
  • Ability to think creatively and calmly as schedules and priorities change quickly and/or unexpectedly
  • Ability to understand the executive’s vision, enabling an effective strategic partnership
  • Ability to listen and understand the needs and expectations of others, with the ability to express oneself effectively, both written and verbally
  • Strong, well-rounded leadership skills
  • Excellent organizational skills

 

Physical Demands

Light work. Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Even though the weight lifted may be very little, a job is in this category when it requires a good deal of walking or standing, or when it involves sitting most of the time with some pushing and pulling of arm or leg controls. To be considered capable of performing a full or wide range of light work, you must have the ability to do substantially all these activities.
