Department: Tohono O'odham Nation Health Care (TONHC)

Division: Health Care Property and Supply

Status: Non-Exempt/Full-Time

Salary: $20.62 - $25.76/hr. (DOE)

Position Summary:

Under general supervision, maintains accurate records of the quantity, type, and value of supplies; prepares journal entries, monthly and year-end closings, and fixed asset maintenance and general ledger reconciliations per the Tohono O’odham Nation’s applicable policies and procedures. The incumbent may occasionally operate a forklift and perform inventory requirements determination, materials distribution, acquisition planning, procurement authorization, and funds management. In addition, the incumbent administers the inventory control program for the Tohono O’odham Nation Sells Hospital.

Scope of Work:

This position is located at the Tohono O’odham Nation Sells Hospital in Sells, Arizona, with inventory management oversight duties at San Xavier Health Center. The incumbent receives administrative direction from the supervisor according to the missions and functions of the department.

Essential Duties and Responsibilities: (Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below):

  • Assists in maintaining an effective and efficient inventory management system.
  • Keeps an accurate ongoing inventory for each department’s property; prepares and reconciles reports.
  • Complies information on receipt or disbursement of goods and computes inventory balance, price, and costs.
  • Maintains records and develops reports for the reconciliation of supplies inventories.
  • Identifies specifications for purchasing items according to the Tohono O’odham Nation’s purchasing policies and procedures.
  • Ensures inventory system files security through limited access to main programs.
  • Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide seamless customer service.
  • Performs inventory data entry accurately and on time; utilizes an electronic records system to process department documents.
  • Stamps metered mail and distribute incoming United States Parcel Service mail.
  • Processes purchase orders through the receiving function to capture assets for tagging.
  • Maintains all appropriate documentation related to the procurement of goods and services.
  • Operates a forklift and other necessary equipment to handle appropriately received, issued, and stocked adequately.
  • Plans and coordinates all actions associated with phasing out old or obsolete products and phasing in newer replacements.
  • Answers questions from various departments and programs regarding property and supply policies and procedures and ensure compliance to the Nation’s policies and procedures.
  • Attends meetings as required.
  • Performs other job-related duties as assigned and contributes to a team effort.

Knowledge, Skills, and Abilities:

  • Knowledge of the Tohono O’odham culture, customs, and traditions.
  • Knowledge of inventory management and the development of new methods, approaches, or procedures.
  • Knowledge of property inventory techniques.
  • Knowledge of safety precautions relating to loading and unloading of materials.
  • Knowledge of application and implementation of computer record-keeping systems, accounting and billing procedures, and inventory systems.
  • Skill in providing superior customer service for both internal and external customers.
  • Skill in organizing and maintaining areas for efficient material storage and handling.
  • Ability to use various computer software and data entry.
  • Ability to communicate efficiently and effectively both verbally and in writing.
  • Ability to establish and maintain positive and effective working relationships with other employees and the general public.
  • Ability to maintain privileged, confidential information.
  • Ability to work independently and meet strict timelines.
  • Ability to work extended hours and various work schedules.
  • Ability to obtain forklift certification.
 
Position Requirements

MinimumQualifications:

  • Associates Degree in Materials Management or Inventory Control, or closely related field, and two years work experience in inventory, administrative, or warehouse, to include computerized inventory and accounting systems; or an equivalent combination of training, education, and work experience which demonstrates the ability to perform the duties of this position.

Licenses, Certifications, Special Requirements:

  • Must obtain Forklift certification within six months of hire.
  • Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required to determine suitability for employment, including a 39-month driving record.
  • May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years).
  • If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.
  • Based on the department's needs, the incumbent(s) may be required to demonstrate fluency in both the Tohono O'odham language and English as a condition of employment.

Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear and regularly exposed to extreme weather conditions. The work may require physical exertion such as long periods of standing, recurring bending, crouching, stooping, stretching, reaching. Frequent lifting of moderately heavy items such as boxes of supplies may be required. The work involves moderate risk or discomforts requiring special safety precautions such as working around moving parts, motor carts, forklifts, or other vehicles. Incumbents may be required to use protective clothing or gear, such as safety shoes, gloves, or goggles.
