The Executive Assistant to the CEO is a strategic partner to the CEO, C-suite leaders, and members of the Board of Directors, primarily supporting the CEO. This position proactively manages the day-to-day affairs of the office of the CEO by collaborating cross-functionally across the company, anticipating the needs of the CEO, and setting him up for daily success. This role is highly visible, interfacing with internal & external stakeholders, and representing Wilbert leadership at the highest level.

Wilbert is one of the largest and most respected suppliers of products and services to the funeral industry. Founded over 100 years ago, the company has undergone significant growth in the last three years under new ownership and leadership, and currently has approximately 1,400 employees in 90 locations.

Essential Functions and Primary Duties

  • Scheduling - Maintain the calendar for the CEO, assuring that his day runs seamlessly, including scheduling internal & external meetings and any related travel, anticipating & resolving last-minute conflicts.
  • Project Management - Develop and implement a task & project management system to keep the CEO focused and have up-to-the-minute status on key initiatives around the company. Draft meeting summaries and action items and prepare the CEO for follow-up meetings. Be the single source of truth for the CEO, managing his priorities and keeping him on track.
  • Board Management & Communication - Manage administration for the Board of Directors, including drafting board communications, scheduling board meetings, taking minutes, and liaising with Board Members as the CEO's proxy when needed. Draft executive materials, including correspondence, memos, spreadsheets, agendas, and presentation materials.
  • Administrative Management - Manage general office maintenance, including ordering supplies, maintaining business records & management systems, distributing correspondence, and greeting callers & visitors. Lead a team of two additional administrative staff.

  • Bachelor’s degree preferred
  • 8-10 years of executive administrative experience
  • High EQ, Low ego
  • Tech savvy, hyper-organized, biased towards action
  • Proactive problem solver, bringing solutions and creating efficiencies
  • Professionalism and confidentiality when handling confidential information
  • Excellent verbal and written communication in working throughout all levels of an organization, both internally and externally
  • Ability to work remotely, occasionally outside of office hours when needed to serve the needs of the executives, including members of the Board who do not office onsite.
