Information Specialist, Downtown & Tourism Development 

Description

This is a highly visible position requiring good organization, communication, discretion, diplomacy, and good judgement. This position is the first point of contact for all visitors and the local community walking into the Visitors Center. This person works directly with Tourism and Main Street personnel. Must have a helpful and supportive disposition.

First point of contact with visitors – either in person, by telephone or through email inquiries. Fill the online/email visitor guide requests daily.

Greet and provide assistance to all visitors, and provide answers or requested information in a timely manner.

Manages inventory of brochures, magazines, rack cards, etc. in both the Visitor’s Center and Mini Welcome Centers.  Ensure that materials needed to distribute to visitors is always on hand for distribution to visitors. Create a diagram of the placement of brochures in each rack and the mini welcome centers, tracking usage of racks. 

Develop relationships with managers/employees at the locations and work with them to see the value of the mini welcome centers and make them aware who to contact and request more information when their stand is low.

Manage brochure supply inventory for stocking and re-order.

Manage the inventory and restocking of the Visitor’s Center gift shop. Entering in new merchandise into Point of Sales system and placing labels on all inventory.

Maintain the Downtown Dollars registry and inventory.  Keep a close eye on the amount of Dollars to be sold so that there is an adequate supply at all times.  Must be able to anticipate when there will be an increase in sales.  Work with the local printer to make sure the printing of the Downtown Dollars is accurate in all details.

Record Meeting minutes at quarterly DTTA board meeting and assist Tourism Director with meeting agenda preparation and meeting organization, distributing meeting announcements, agendas and minutes.

Manage fulfillment of welcome bags, group assistance requests and Getaway Packages weekly, keeping records of requests. Notify and/or distribute materials to requesting party in a timely manner.

Work with the Saturday personnel to fulfill assistance requests adequately.

Prepare Getaway Packages three days prior to the visitor’s arrival and coordinate the delivery of the package to hotels if applicable. Notify the office staff of the location of the package if it is to be picked up in the Visitors Center.

Manage the orderliness of the Visitor’s Center, vacuuming as needed, watering plants and keeping front desk free of clutter and presentable for visitors at all times.

Maintain and update Visitors Center Stats and Daily Deposits, tracking daily logs and assistance requests.

Enter Visitors Sign-In Log sheets and transfer email addresses to Constant Contact if they have given an email address.

Maintain a minimum of 5 relocation packets at all times to fulfill requests.

Responsible for facilitation of all ticket sales for auditorium events sponsored by the City of Thomasville, such a Bluegrass Concerts.  Work with the cashiering department to get start-up cash for ticket sales.

Assist with the annual events, including but not limited to Rose Show and Festival, Victorian Christmas, First Friday and other City Sponsored events planned by Main Street and Marketing.

Operates as point of contact for re-ordering & checking in office supplies.

Oversee the maintenance, cleanings, and rentals of the Municipal Auditorium and The Ritz Amphitheater.  Meet with prospective renters, follow up on the required paperwork and communicate renter’s needs to other departments as necessary.

Physical/Environmental Requirements Mobility to work in typical office settings using standard office equipment, ability to drive and some lifting of boxes weighing approximately thirty (30) is required. In addition, vision to read printed materials and computer screen and hearing and speech to communicate in person or over the telephone.
