Description

This effort will assist in creating a network of likeminded allies and partners with increased threat reduction capabilities that contribute and advance the interests and security of the United States of America. It will assist in building strategic relationships with key international partners that enhance threat reduction on a global scale. It will also support the resilience of the global nonproliferation framework by building partner capacities to enforce the tenants of that framework.

The Senior Administrative Assistant will perform administrative support and coordination across all staff levels to ensure tasks are assigned to appropriate staff and deliverables are met on time.

Additional Responsibilities Include, but are not Limited To:

  • Manage travel coordination.
  • Facilitate communication across leadership and teams.
  • Will direct other travel team staff members on day-to-day operations.
  • Prepare briefing material for senior leadership.
  • Assist, track, and manage various projects.
  • Document best practices across all programs.
  • Engage and communicate with staff and leadership.
  • Monitor taskings and data calls and coordinating responses.
  • Monitor deadlines and ensure responses are submitted on time.
  • Will manage passports and visa processing requirements for CTR and other CTR Program travelers as required.
  • May maintain a detailed database of all CTR travelers' passports and visas to project when passports must be renewed and when visas applications must be filed.
  • May responsible for safeguarding diplomatic and official passports in accordance with appropriate regulations.
  • Prepare and assist in general business operations to support the customers.
  • Research and assist in database administrations or similar support activities.
  • Assist with proposal development, if necessary.
  • Perform other duties, as assigned.
 
Position Requirements

Experience:

  • Minimum of ten (10) years related experience.
  • Demonstrated strong organizational skills and attention to detail.
  • Demonstrated experience tracking multiple efforts and deliverables, and ensuring deadlines are met.
  • Demonstrated effective and strong communication skills.
  • Experience developing and maintaining spreadsheets.
  • Experience developing reports, minutes, memos, briefs, and correspondence.
  • Familiarity with federal travel processing policies and tools.
  • Experienced Microsoft Word user, with typing and editing experience.
  • Experience monitoring taskings and data calls, distributing assignments, monitoring completion, and coordinating requests.
  • Must have significant experience providing one or more of the following:
    • Executive level administrative support:
      • Experience leading administrative teams. Significant Experience in office administration, records management, knowledge management, task allotment and tracking, quality control and assurance. Demonstrated ability to cross offices in order to clarify and complete needed taskings. Customer service oriented.
    • Travel Support:
      • Significant experience providing all aspects of travel planning support including travel booking, passport tracking and requests, DOD and international travel rules compliance etc.
  • Must have experience with DoD travel regulations.

Education:

  • MA/MS preferred plus ten (10) years of experience or BA/BS plus eighteen (18) years of experience.

Other Required Skills & Abilities:

  • Must be able to effectively communicate with customer and fulfill all duties and responsibilities as listed in the contract.
  • Must be proficient in Microsoft Office suite including, but not limited to: Word, PowerPoint, Excel, and Outlook.
  • Must be capable of working independently with no oversite.

  • COVID-19 Vaccination Requirement. While the vaccine mandate for federal contractors and subcontractors is still being decided, we are continuing to collect vaccination record cards and accepting requests for legal accommodations (approval of a legal accommodation is not guaranteed). Although providing this documentation is not required at this time, we appreciate your cooperation in voluntarily providing this documentation to us should the Executive Order be upheld in the courts.

Security Clearance:

  • Secret security clearance required.
    • Top Secret security clearance highly desired.

US Citizenship: This position supports a U.S. Government Contract whose terms require Sawdey Solution Services to staff it only with U.S. Citizens.
