Description

Position summary

  • The Key Account Advocate is responsible for both supporting Key Account Managers in the implementation of company-wide strategies, as well as the Account Managers, in activities related to Key Account locations, such as call report documentation, PCF management, and other locally required customer communications.
  • The goal of a Key Account Advocate is to increase service to existing internal and external customers resulting in the benefit of centralized communications across the scope of their assigned Key Accounts.
  • Fulfill customer requests for product information, specifications, and samples based on consolidated practices established by the Key Accounts Operations team. The Key Account Advocate role will help to develop new processes that better fit the scope of this account model.
  • Responsible for completion, and accuracy, of customer specific price sheets in accordance with effective dates and price protection for each assigned Key Account. Sole responsibility for input of system pricing changes, deletions, or additions, for all assigned Key Accounts.
  • Serve as centralized point of contact for Key Account support and rebate submissions and review. Verify data integrity, accuracy, and assist the rebate team in gaining timely response and approval of rebates and supports. Transition and review of this information correctly to customer pricing sheets.
  • Using analysis and reporting provided by Key Account Specialist, the Key Account Advocate will work with internal teams to correct customer billing and margin issues.
  • Review reporting and work with Key Account Manager to prioritize allocation and orders to be processed by Key Account Customer Service Representatives.
  • As applicable, initiating action to prevent the occurrence of any nonconformities relating to product, process, or quality system; identifying and recording any problems relating to the product, process, or quality system; initiating, recommending, or providing solutions through designated channels. This role will be expected to work with their Key Account team to provide both resolution and communication to the internal team as well as the customer.
  • This position is important to our firm and the fulfillment of the duties and responsibilities contribute to the overall success of the CASE Key Accounts Team and Palmer Holland.

Essential tasks of the position

  • Knowledge and understanding of Key Account strategy and their role in the goals and objectives set by this strategy for their assigned accounts and for the team.
  • Assessment techniques of examining, questioning, evaluating, and reporting
  • Additional skills required for planning, organizing, communicating, and process improvement
  • Daily activities and key assignments include, but are not limited to, assisting internal customers with the following:
    • Product/Supplier Data Sheets & Literature
    • Call reports
    • Cost Requests, price quotes and quote communication
    • Sample requests, tracking and follow-up
    • Product Customer Forecast
    • Margin analysis resolution
    • Market Intel & Opportunities- Input and Maintenance
    • Input and Setup for Principal transition business
    • Product availability inquiries
    • Freight cost inquiries
    • Cross Training and Back-up Customer Service when needed
    • Account Manager Liaison to internal staff as needed
  • Basic knowledge of Vendors/Products
  • Special projects as needed

Quality:

Activities of the position affect quality including quality objectives. Responsibilities and authorities include where appropriate:

  • Initiate action to prevent the occurrence of any nonconformities relating to product, process, or quality system, up to and including when necessary, stopping production to correct quality problems.
  • Identify and record any problems relating to the product, process, and quality system.
  • Document problems, steps taken for resolution and preventative action in CRM software and notifying all parties required.
  • Initiate, recommend or provide solutions through designated channels.
  • Verify the implementation of solutions in areas under your control.
  • Control further processing, delivery, or installation of nonconforming product until the deficiency or unsatisfactory condition has been corrected.
  • Perform duties and tasks as prescribed in company policies, procedures, and work instructions.

Position Requirements

Education:

  • 4-year degree or equivalent work experience in this industry or related field.

Experience:

  • 6-12 months experience in this industry or related field.

Knowledge/Skills:

  • Intermediate level of expertise in MS Office and Contact Management Software
  • Excellent verbal and written communication abilities
  • Ability to maintain professional conduct that exemplifies the corporate policies at all times, particularly when interacting directly with internal and external customers
  • Ability to handle sensitive information with confidentiality and discretion
  • Detail oriented with strong, accurate clerical skills
  • Proficient at multi-tasking
  • Proactive problem solver and critical thinker
  • Highly motivated
