SUMMARY

The Development Database Manager is responsible for analyzing, managing, and maintaining the Resource Development (RD) departments database. This includes managing and overseeing gift processing, donor profile data and donor acknowledgements; supporting timely updates to annual fundraising solicitation pipeline; as well as reconciling donor gift activity with the Business Office to ensure reporting accuracy. The Development Database Manager will work closely with the VP of Philanthropy and Director of Development providing analysis on a range of donor information to help inform engagement, donor solicitation and stewardship strategies; and will support other Department activities that require donor data input such as special events, campaigns, board reporting, strategic goals and KPIs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Oversee the quality, integrity and accuracy of all donor information and gifts entered into the database (currently Donor Perfect)
  2. Play lead role in the strategic management and day-to-day operations of donor and prospect database, serve as the department point person on queries, reports, actions, list management for mailings and major events and importing and exporting of data.
  3. Design, test, deploy, run and analyze reports for Development team, Board of Directors and other departments as needed
  4. Maintains and improves donor relations by ensuring accurate and timely handling, recording, receipting, and acknowledgement of gifts and related data in a 48 hour turnaround time
  5. Train and support database end-users: Maintain entry standards and procedures; conduct trainings when required to support effective, optimized utilization.
  6. Implement donor outreach platform (Constant Contact) with design and sending e-blasts
  7. Liaison database integration with OV Business Office, including timely reconciliation, accountable for reconciliation to deposit, ACH transfers, and online payment systems
  8. Assist with the efficiency of special events, projects and mailings in a timely manner
  9. Serve as a data expert for the department and communicates IT information regularly to the team
  10. Work with team members to meet the targeted dates defined for mailing lists and special donor recognition
  11. Use Fundraising best practices when defining data fields and/or standards should be changed to help ensure the integrity of the reports being generated
  12. Manage database as it relates to goal of donor growth (
  13. Facilitate thank you letter process
  14. Maintain effective methods for coordinating, documenting, tracking, and reporting of donor events and other Development team projects
  15. Assist in projects and programs that will produce revenue in RD.
  16. Manage, document and organize archiving of RD documentation, (daily deposits, donor files, clean-up and purging of outdated/incorrect date, etc.)
  17. Assumes primary responsibility for portfolio and prospect needs of Development staff in support of achieving departments fundraising goals.
  18. Create invoices for RD and Events team
  19. Performs other duties as assigned

SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

 
Position Requirements

SKILLS REQUIRED

  • Self-starter, ability to identify problems and propose solutions.
  • Strong critical-thinking, communication and training skills; customer service-focus.
  • Ability to multitask, prioritize, and work independently and as part of a team, in a deadline-driven environment
  • Demonstrated proficiency with data and financial information, strong ability to create reports and spreadsheets using database
  • Excellent interpersonal and customer service skills. Strong organizational skills with attention to detail and accuracy
  • Experience managing system upgrades, data organization and transition
  • Familiarity with fundraising best practices of a nonprofit organization
  • High level of computer skills with experience in: CRM (Customer Relations Manager) and/or donor databases, advanced Excel and tables, Word, Power Point
  • Ability to read, analyze and interpret written information along with verbal presentation skills to other team members.
  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Ability to interpret instructions, gain knowledge and have initiative.
  • Must encompass professional demeanor.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies or vendors of the business community.
  • Ability to effectively present information to top management. Willingness to keep up-to-date technically and learn new technologies;
  • Exceptional accuracy and attention to detail;
  • Excellent written, verbal, and analytical skills;
  • Effective collaboration skills;
  • High level of customer service orientation;

 

EDUCATION AND EXPERIENCE

  • Required: Bachelor’s degree in Business, Accounting, Finance, Hospitality, or related field.
  • Required: Two – five years’ experience with data analytics or data development
  • Required: Two – five years’ experience in a donor centric role in a nonprofit setting
  • Preferred: Experience working with individuals with intellectual disabilities.
