Description

Position Summary

The Administrative Specialist professionally and courteously provides efficient and detailed administrative services to support the employees of the firm and serves as the primary backup to cover reception.

The part-time hours for this position are Monday through Thursday 12:00 pm - 5:00 pm EST. This positon, on occasion, may be scheduled additional hours to cover for scheduled time off for reception personnel.

Essential Duties and Responsibilities

  • Provide timely completion of assigned actions and updates in CRM Software
  • Coordinate catering for internal meetings as needed
  • Prepare prospective client packets and maintain stock of prospective client materials
  • Reconcile monthly company credit card statements and prepare expense reports for office supplies and catering
  • Coordinate client gift giveaways
  • Provide backup coverage for reception during breaks and absences
  • Warmly answer phones and greet and seat clients and guests as needed
  • Maintain beverage services
  • Assist with client mailings
  • Manage, organize and communicate client ticket offerings in a timely manner
  • Stay current on technology updates and the usage of various company databases and systems
  • Schedule Business Development meetings for prospective clients as requested
  • Provide notary service
  • Assist with other clerical duties as needed

Required Skills and Experience

  • Professional and courteous oral and written communication skills
  • Desire and ability to solve problems and improve processes
  • Ability to interact with employees, clients and vendors in a friendly, courteous and professional manner
  • Proficiency in Microsoft Office applications
  • Experience working with Web-enabled applications and database software
  • Ability to plan, organize, and prioritize workload efficiently and effectively
  • Ability to work independently and with teams

Preferred Skills

  • Basic understanding of financial/wealth management
  • Experience with CRM software

Education and Job Experience Requirements

  • 1-3 years of high-level administrative experience
  • Bachelor’s degree preferred
  • Notary
 
Salary Range $22 per hour
