Position Sales Support Specialist  
Description

The Sales Advocate is responsible for supporting Account Managers, to be their internal office liaison for non-order requests, to document Account Manager activities in the system within the target time frames as well as coordinating with internal staff on behalf of the Account Manager.

A primary goal of a Sales Advocate effort is to increase service to existing internal and external customers resulting in the benefit of additional communications for new or existing customers. This position is important to our business and the fulfillment of the duties and responsibilities contribute to the overall success of the company.

Essential tasks of the position:

Data Entry:

  • Entering daily activities and key assignments according to Best Practices include, but not limited to, assisting customers and account managers with the following:
    • Product customer forecast
    • Price quotes
    • Market Intel and Opportunity entry and update
    • Sales variances
    • Sample entry and update
    • Call reports
    • Product availability
    • Cost inquiries
    • Manage data integrity checks

Support for Sales Team:

  • Fulfilling sample requests based on established procedures.
  • Qualify new and existing companies to promote to Customer.
  • Support internal coordination of non-order related requests to ensure completion.
  • Apply Sales acumen to reports in an effort to understand buying patterns, investigate sales with the customer, and report accordingly.
  • Make proactive customer calls on current business to obtain key business updates and help advance the sales process.
  • Update job knowledge by studying new product descriptions and participating in educational opportunities, as applicable.
  • Backup support for Customer Experience Specialists.

Quality:

Activities of the position affect quality including quality objectives. Responsibilities and authorities include where appropriate:

  • Initiate action to prevent the occurrence of any nonconformities relating to product, process, or quality system, up to and including when necessary, stopping production to correct quality problems.
  • Identify and record any problems relating to the product, process, and quality system.
  • Document problems, steps taken for resolution and preventative action in CRM software and notifying all parties required.
  • Initiate, recommend, or provide solutions through designated channels.
  • Verify the implementation of solutions in areas under your control.
  • Control further processing, delivery, or installation of nonconforming product until the deficiency or unsatisfactory condition has been corrected.
  • Perform duties and tasks as prescribed in company policies, procedures, and work instructions.

Position Requirements

Education:

  • 4-year degree or equivalent work experience in this industry or related field required

Experience:

  • Minimum of 6 experience in this industry or related field preferred.
  • Previous experience in an administrative and/or support role preferred.

Knowledge/Skills:

  • Intermediate level of expertise in MS Office and Contact Management Software
  • Excellent verbal and written communication abilities
  • Ability to maintain professional conduct that always exemplifies the corporate policies, particularly when interacting directly with internal and external customers
  • Ability to handle sensitive information with confidentiality and discretion
  • Detail oriented with strong, accurate clerical skills
  • Proficient at multi-tasking
  • Proactive problem solver
  • Highly motivated
