Summary: Individuals in the job are responsible for assisting Tropical Financial Credit Union in achieving its purpose of guiding members successfully through the financial marketplace. This role requires a high level of understanding of how our Policies, Procedures and forms influences our daily operations and delivery of services in alignment to our core values of Member and Employee Satisfaction.

This position oversees developing, updating, and posting all corporate Policies, Procedures, Forms and related documents while ensuring style consistency and accessibility to all employees. The incumbent will coordinate with the Training team, Subject Matter Experts (SMEs), I.T., Project Management (PMO) and Compliance team members, Senior Management, and occasionally vendors to approve and post all policies and procedures. The individual in this position will coordinate with the appropriate business partner and record notes, test processes for accuracy and efficiency, recommend relevant improvements, and collect data and conceptual goals based on, but not limited to, the corporate initiatives of the Board of Directors and Senior Management in alignment to strategic business initiatives.

Essential Duties and Responsibilities include, but are not limited to, the following:

  • Interpret, and transfer policy decisions approved by the Board of Directors, the President, Senior Management, and other management team members in writing.
  • The Corporate PPF Specialist will update procedures as policy changes generate revisions that have consistency in document and style.
  • The Corporate PPF Specialist will assist the above-mentioned levels by providing drafts, including synopsis and troubleshooting scenarios, concerning various procedures before broadcasting to the general staff.
  • Prepare and provide a detailed monthly Policies and Procedures Inventory for Senior Management. The Inventory provides an overview of the status of policies and procedures within each respective area of operation.
  • Meets with the Training team, SMEs, IT, PMO team members, Compliance, Senior Management, and occasionally vendors for procedural updates, testing, recording, posting, etc., and coordinates all efforts relating to the drafting and finalizing of procedural changes implementations.
  • Responsible for communicating changes to all staff and ensuring the information is accessible by linking and posting all procedures and policies onto the Intranet (SharePoint).
  • Responsible for creating, maintaining, and posting an Inventory of Organizational Forms aligned with the relevant policy and procedure.
  • The Forms Inventory must align with the Policies and Procedures Inventory and provide an overview and status of all forms used within the organization and the related department.
  • Responsible for maintaining updated the Intranet - SharePoint site with the current Policies and Procedures and Forms and sending updates to all staff via email.
  • Provide service that meets the Service Standards defined by Tropical Financial Credit Union as measured by Multiple Surveys; annual goals are established through the Performance Management Process.
  • Responsible for updating and maintaining all policies, procedures and forms via the Intranet-SharePoint.
  • Proactively communicates with the Compliance Department regarding any regulator and auditor visits. Identifies the policies, procedures, and forms that will require revising and updating in preparation for their visit. Meets with the appropriate team to accomplish the preceding and coordinates with Executive Support to prepare for Policy updates to the Board of Directors.
  • Work closely with the Training team, SMEs, IT, PMO team members, Compliance, Senior Management, and occasionally vendors to research, draft, approve and post all policies, procedures, and forms.
  • Provides PMOs and Training team assistance by researching to assimilate procedural or regulatory information to assist with new product development. Additionally, they coordinate with the Compliance Department and relevant team members to meet target rollout dates set by Senior Management.
  • Observes and may participate in the testing of new data processing programs and procedural document steps required for successful use of the program.
  • As deemed necessary, participate in New Product or Service Development teams and activities to research, develop, test, and draft related policy and procedures in coordination with the appropriate team member for approval by Senior Management.
  • Regularly utilizes advanced skills in word processing, excel, presentation, SharePoint, and graphic software applications.
  • Assist SME’s with Service Level Agreements and ensure they are up to date.
  • Attend training that will increase knowledge, awareness, and expertise in the areas of Policies and Procedures, Standards within the Credit Union Industry, Regulatory Issues, Human Resources Issues, and Project and Time Management. Additionally, the Training Team and VP of Human Resources will recommend other training as may be necessary.
  • Responsible for writing, coordinating, and communicating all policies, procedures, forms, and other relevant updates via SharePoint and sending reminders as necessary.
  • Perform other duties as assigned.
  • BSA Compliance: every employee must uphold the credit union’s compliance with the Bank Secrecy Act and anti-money laundering policies and procedures. Specific functions within TFCU will consider the awareness of unusual or suspicious activity that is relevant to the department.
  • In addition to any other assigned training courses, online BSA and OFAC courses must be completed at least annually, as made available by the Training and Compliance Departments.

  • The Corporate PPF Specialist must possess the excellent communication skills required to interact with various personalities and authorities without being intimidated or losing focus on the task.

  • Candidate must be able to work independently while taking ownership of their work, and exhibit strong initiative to advance projects to completion.
  • Technical Ability to write well and simplify procedures, so they are easily understood and performed. This must be accomplished while not compromising the technical necessities included within the procedures.
  • Excellent grammatical, including spelling, and punctuation skills are required.
  • Ability to read and interpret documents and instructions and carry out instructions furnished in written, verbal, or diagram form.
  • Ability to perform essential mathematical functions such as add, subtract, multiply and divide.

Education and Experience

  • High School degree or equivalent required and a two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.
  • Three or more years’ experience in a corporate document management, policies and procedures role, either as an administrator, or as a specialist, preferred.
  • Financial Services experience, banking or credit union knowledge preferred.
  • Possess intermediate to advanced knowledge with MS Office Word, Excel, PowerPoint, Publisher, Outlook, Adobe Acrobat and related software and hardware equipment.
  • Intermediate knowledge of Microsoft SharePoint preferred
  • Strong graphic design and desktop publishing skills preferred.
  • Regulatory, compliance, or legal background preferred.
  • Must be able to travel independently as needed.

Physical Demands: The physical demands described here must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, sit and use hands to handle or touch. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and move up to 10 pounds.
