Basic Job Function: To supervise and coordinate all duties of the Storeroom, invoice and inventory control. Also assists in month-end procedures, cost of sales and other related functions. Responsible for the non-prejudicial procurement of all goods, supplies and equipment to meet established specifications, safety and quality standards at the lowest possible cost. Ensures that all purchases are conducted in accordance to established procedures and with management approval. Maintains records, files and resources for reference.

 
Position Requirements

Essential Functions:

· Handle departmental purchase requests by securing management approval, obtaining competitive bids and preparing orders for the purchase of all supplies. Communicate and confirm all purchase orders with the vendor to ensure timely and accurate delivery.

 

  • Work closely with each department head to become knowledgeable of the quality and quantity of their department’s supplies. Offer appropriate information on new or alternative products and suggestions for saving money. This includes reviewing reports to reduce inventory value and move slower items.

 

 

  • Ensures that the department is staffed efficiently according to departmental needs and plans and coordinates all Storeroom duties in receiving and issuing stock on hand and inventory. Enforces established departmental and hotel policy and procedures and performs disciplinary actions as necessary.

 

 

· Establishes and maintains a professional, trained and motivated staff through effective implementation of performance and career-development programs.

 

· Maintains records, files and forms on all payroll related information for union colleagues as well as update Timesaver to ensure accurate payroll processing.

 

· Assists and participates in the hiring process and decision making of storeroom applicants. Prepares and completes annual performance appraisals for approval and reviews with each colleague in a timely manner.

 

 

· Completes month-end procedures such as, but not limited to, journal vouchers, reconciling and reports.

 

 

  • Performs house check evaluations, conducts par stock checks, evaluates portion control and butcher test, ensures pro-active internal control function and performs Cash Integrity Testing for outside Auditors and performs spot checks in all outlets to ensure all guest checks are opened and closed on time.
  • Researches, develops and recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed

 

  • Perform any other duties as assigned by Director of Finance.

 

  • Regular attendance is required for this position.

 

 

Additional Duties and Responsibilities:

 

  • Reports all suspicious persons or activities and hazardous or unsafe conditions to the Security Department.

 

  • Provides instruction and/or guidance for guest and employee safety in fire or other emergency situations.

 

  • Responds to guest questions. Provide guest assistance, direction and information as requested when working in public areas.

 

  • Represents the hotel at various functions and trade shows.

 

  • Participates and networks through key organizations as recommended by the Director of Finance.

 

  • Performs a variety of other duties as assigned.

 

Education/Training Requirements:

 

    • High School Diploma or General Education Diploma required.

 

    • College degree in Accounting or similar field preferred.

 

 

 

Experience/Skill Requirements:

 

  • Two (2) to three (3) years purchasing experience required.

 

  • One (1) to two (2) years management experience preferred.

 

  • Experience in a first class, medium to large resort preferred

 

Licenses/Certifications:

 

  • Certification of tuberculosis clearance required.

 

  • CPR and Standard First Aid Certification preferred.

  • Ability to pay attention to detail, work in a fast paced environment, handle multiple tasks and have a high level of patience.
  • Ability to use sound judgment.
  • Ability to comprehend and follow oral and written instructions and procedures.
  • Ability to prioritize work.
  • Ability to comprehend and perform mathematical calculations.

 

  • Ability to access, understand and accurately input information using a moderately complex computer system and effectively utilize software such as Excel, Word and Fidelio.

 

Ability to effectively deal with internal and external customers and staff, some of whom will require high levels of patience, tact, empathy and diplomacy to diffuse anger, collect accurate information and resolve conflicts.

  • Ability to pay attention to details, work in a fast paced environment and handle multiple tasks.

 

 

Communication Requirements:

 

  • Ability to communicate effectively in English both verbally and in writing.
  • Ability to effectively deal with internal and external customers, some of whom will require high levels of maturity, patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.
