Job Summary

Greet and receive clients, visitors and the general public, both personally in the reception area and over the telephone. Assist clients with their requests; announce clients and visitors to the appropriate staff; transfer telephone calls to staff and/or voicemail as directed. Coordinates intake of counseling clients and maintenance of counseling services files and other office administrative duties for the counseling program. Other duties as assigned.

Role and Responsibilities

  • Answer all STVCC incoming telephones calls and direct them to the proper staff member or program.
  • Greet and receive all clients and visitors; assist them in contacting the appropriate staff member or program
  • Maintain a positive and professional interpersonal relationship with incoming telephone calls, visitors, clients and staff along with representing the best interests of the Agency at all times. Timely responding to client, prospective client, and staff requests or inquiries. This includes responding to and communicating appointment cancellations timely.
  • Remain sensitive to language and cultural differences of clients and staff.
  • Serves as second person required on premises during evening counseling sessions for safety purposes, as needed.

  • Coordinates intake of new counseling clients, facilitating assessment of sliding fee scale eligibility, determining availability of therapists, and making sure all paper work and intake packets have been appropriately completed and uploaded to clients file prior to clients first session.
  • Maintaining wait list for counseling services and following up with clients on waitlist periodically.
  • Coordinating the updating of counseling services clients paperwork relating to consents and sliding fee scale eligibility and maintaining clients electronic file as appropriate.
  • Logs and reports on completion of counseling services clinical assessments and other required reports.
  • Responds to and compiles required information for medical records requests for counseling services clients
  • Checks counseling services mail and ordering office supplies as needed for counseling department.
  • Collects payment from clients and donors and processes through cash register in accordance with agencys cash receipt policy.
  • Perform other duties as requested.

Qualifications and Education Requirements

 

Education: High School Diploma (or equivalent).

 

Experience: Two years administrative or customer service-related experience preferred.

 

Registration, licenses, certifications or special training: A valid Michigan Driver License, access to reliable transportation and maintain appropriate insurance.

 

Physical Demands: The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  1. Emotionally able to work with information that may be traumatic in nature, as well as, work with individuals or families in crisis or experiencing trauma.
  2. Ability to stand and/or walk up to 8 hours per shift.
  3. Work involves talking, stooping, squatting, twisting, climbing, kneeling, hearing, using hands to handle, feel or operate objects, tools, or controls and reach with hands and arms.
  4. Vision abilities required by this job include close vision, distance vision and the ability to adjust focus.
  5. May be required to push, pull, lift, and/or carry up to 25 pounds.
  6. Ability to sit and use computer workstation, including keyboard and visual display terminal for extended periods of time.
  7. Noise in the work environment is usually moderately quiet but can be very loud at times.
  8. Work in an environment with various degrees of discomfort.
