SUMMARY

Under the direction of the Director of IT, the Administrative Assistant will perform a variety of administrative tasks to help support the team as a whole. To be successful in this role, you should have great communication skills be well organized and self-motivated. Ultimately, you will contribute to the efficiency of our department working as a primary point of contact for computer incident scheduling and resolution.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Manage departmental information flow in a timely and accurate manner.
  2. Prioritize mission critical outages or interruptions in services and escalate them accordingly.
  3. Identify and update incomplete or non-actionable work orders within the help desk system by following up with the requester so that issues can be more efficiently resolved.
  4. Provide periodic end users updates as to the status and resolution timeframe of their help desk tickets.
  5. Frequently analyze departmental workflow and reprioritize help desk tickets based on the severity and business impact of the given issues.
  6. Help coordinate scheduling, project timelines and departmental resources.
  7. Responsible for handling/utilizing/reconciliation of department credit card.
  8. Facilitate ordering computer equipment and supplies, and when applicable updating tickets to reflect what was physically received.
  9. Coordinate transferring tickets amongst the team to balance workloads and maximize efficiencies.
  10. Manage and document help desk tickets to insure forward progress while escalating problematic tickets.
  11. Continually analyze help desk data to identify key performance indicators and areas for improvement.
  12. Process purchase orders, check requests and expense reports.
  13. Review and update employee timecards.
  14. Facilitates employee record keeping.
  15. Research, request and organize vendor quotes in conjunction with the procurement department to help estimate project costs for budgetary purposes.
  16. Perform special projects and other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position has no staff supervisory responsibilities.

 
Position Requirements

SKILLS REQUIRED

  • Intermediate computer skills.
  • Must possess basic math skills (i.e. adding, subtracting, etc.).
  • Ability to read, analyze and interpret written information.
  • Ability to interpret instructions, gain knowledge and have initiative.
  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Must possess social discernment to assess and understand other’s reactions and behaviors.
  • Ability to define problems and draw valid conclusions.
  • High energy, positive and enthusiastic outlook.
  • Self-directed, with strong ability to work independently, and to set and adhere to deadlines.
  • Ability to set priorities follows through to completion of tasks, work well under pressure, and maintain a high level of confidentiality.
  • Must encompass professional demeanor.

 

EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent along with two (2) years of verifiable administrative work experience.
  • Required:  Computer literate and must be proficient in Microsoft Office products (i.e. Word, Excel, Outlook and PowerPoint).
  •  Preferred: Experience working with help desk or ticketing systems.
