Description

The Information Technology Administrative Assistant is responsible for providing support to the Director of Information Technology, and IT department in managing day-to-day IT systems and networks. This position requires a technically savvy individual who is extremely well organized and adept at communicating both verbally and in writing with stakeholders across the organization.

The Administrative Assistant will also provide program support with scheduling, coordinating, and facilitating meetings, preparation, proofing, grammatical review of correspondence and policy documents, as well as documenting meeting notes/tracking action items. Exercise judgment in an environment that gives you flexibility on a project that respects, uses, and develops your expertise.

Responsibilities:

  • Serve as project coordinator, fielding requests, organizing schedules, maintaining filing systems, and developing administrative process improvements
  • Manage hardware ordering process, coordinate, and track inventory of IT assets, including hardware and software.
  • Manage procurement of inventory including documenting all equipment assigned to staff members
  • Coordinate contracts with vendors and suppliers, including managing invoicing, and payment processes to ensure they are paid accurately and on time.
  • Keep IT licenses and leases up to date
  • Perform systems administration functions for designated information systems/technologies
  • Provide project coordination assistance with special projects and any other duties as assigned by Director of IT
  • Ability to move computers and setup for users
  • Escalate issues to Director of IT
  • Serve as an administrative support for all tasks within the department including, arranging schedules of events, proof-read documents, etc.
  • Prepare agendas, take meeting notes, and track action items, decisions and disseminate
  • Potential need to work flexible hours and be available to respond on short notice
  • Arrange and prepare equipment for shipping/receiving and distribution accurately and promptly
  • Works in department ticketing system to maintain a high level of customer service.
  • Provides RMA creations and basic IT support functions.
  • Manage time efficiently and effectively; set priorities appropriately
  • Coordinate calendars to schedule and facilitate meetings as needed
  • Provide grammatical and format reviews of correspondence
  • Provide administrative, operational, and logistical support, basic statistical task, analysis, and preparation of routine documents.
  • Respond to day-to-day requests from the customer
  • Other duties as assigned
 
Position Requirements
  • High School Diploma or GED
  • Minimum of 3 years’ administrative support, project coordination or systems administration experience
  • Experience reporting directly to executive level staff
  • Familiarity with IT terms and specifications a plus
  • Demonstrated ability to function effectively with great attention to detail while managing multiple tasks
  • Demonstrated ability to work well both independently and as a member of a team
  • Excellent oral and written communication skills
  • Ability to handle sensitive information with a strict level of confidentiality
  • Ability to adhere to defined processes and procedures and suggest improvements
  • Knowledge and proficiency with Microsoft Office 365 including Teams
  • Ability to maintain professional demeanor under stress and operate within customer support standard and operating procedures
