Under direction of the Fire Rescue Chief, performs a wide variety of professional administrative and analytical duties in support of assigned functions, operations, and programs, of the Fire Rescue Department. This position is responsible to assist with conducting and manage the Fire Rescue Department's administrative functions, such as organizational planning and assessment, resource coordination, data analysis/research, records keeping, reporting, business communications, public interaction, and purchasing. The Fire Rescue Administrative Assistant is assigned to the Fire Rescue Administration Division and is responsible to assist in performing confidential administrative and clerical tasks and analysis for the Fire Rescue Chief.
Performs a wide variety of complex and confidential duties for the Fire Chief and other assigned senior-level management positions within the Thomasville Fire Rescue;
Relieves management of administrative responsibilities, including investigating and answering complaints, and providing assistance in resolving operational and administrative problems;
Prepares reports that present and interpret data, identify alternatives, and provide recommendations;
Responds to requests for information and assistance;
Researches regulations and departmental policies;
Maintains calendar of activities, meetings, and various events for Chief and assigned staff, coordinating activities with other departments, the public, and outside agencies;
Coordinates all Fire and Life Safety events;
Able to go into the community and teach Fire and Life Safety education;
Answers incoming calls and place calls on behalf of the Fire Chief;
Books travel arrangements and prepare related expense reports for Chief and others as requested;
Provides routine support for Chief and staff, including preparing meeting agendas, packets, and related materials; coordinating publications, postings;
May attend public meetings or hearings and be required to take and produce minutes for such meetings along with monthly command staff minutes;
Prepares and proofread a wide variety of reports, correspondence, resolutions, ordinances, statistical charts, and other documents; identify and correct inaccuracies; compose and prepare routine letters and memoranda for Chief and other staff as requested, and more;
Organizes and control access to complex filing systems that include highly sensitive files; conduct periodic retention and purging of files in compliance with applicable guidelines;
Generates and maintain reports from a database and/or network system;
Handles limited accounting duties in support of Fire Department; review, submit for payment, and track accounts payable and accounts receivable for Fire Department expenditures; may assist in coordinating, developing, and monitoring the assigned budget; monitor some Fire Department expenditures and purchasing activities;
Handles all payments covering inspection fees.
Performs other similar duties as assigned.
