SUMMARY OF POSITION:

Provides all needed administrative assistance to the Director. Oversees all administrative functions of the administrative office, while providing excellent reception to all visitors at The Center for Women & Children. The Executive Assistant is responsible to train and manage all volunteers and associate staff assigned to the front office, order supplies as needed, assist with tasks at all Women’s facilities, correspond by email and phone, and complete other duties as assigned by the Director of Women’s Ministries.

 

SUPERVISORY RESPONSIBILITIES:

This position directly supervises Volunteers and Associate staff assigned to the front office.

 

DUTIES & RESPONSIBILITIES:

Key Result Area #1: Provide Assistance to the Director

 

  • Assist the Director in the implementation of the ministry-wide Strategic Plan at the Center for Women & Children.
  • Assist Director to ensure that CWC’s departmental strategic objectives are met.
  • Ensure good communication between the director and CWC staff.
  • Meet regularly with the director to strategize program components, events, activities, and other responsibilities.
  • Provide ongoing support to the director in meeting daily objectives/responsibilities.
  • Provide support to any ministry programs and services as needed.
  • Assist the director in the management of personal, program, and staff schedules.
  • Participate in weekly program meetings; keep treatment team notes and send them to the team in a timely manner.
  • Maintain confidential and sensitive information.
  • Complete a variety of special projects as assigned, including the creation of PowerPoint presentations, special reports, and agenda-related material.
  • Maintain and refine the internal process that supports the director and ministry.
  • Convey in a timely manner pertinent information to Director related to operations, program, personnel, public relations, policies, ministry events, etc.
  • Provide assistance to Anna Ogden Hall and the Crisis Shelter for Women and Children.
  • Communicate on behalf of the director as needed or requested.
  • Serve as a liaison to other UGM ministries as requested by Director, including safety, holiday, conference, training, or annual gathering committees and others.
  • Represent the director in her absence.

 

Key Result Area #2: Office Administration

  • Assist the Director with projected budget and management of budget; act as the Centralized Purchasing Agent for CWC overseeing the process of PO’s, invoices, petty cash, credit card, gift cards, and donations in a timely manner.
  • Ensure reader board is maintained and updated on a regular basis.
  • Ensure all new employees receive necessary administrative support/training– ordering of name badge, business cards, computer set up, new employee checklist provided, etc.
  • Order office supplies based off of requests.
  • Keep the CWC house calendar up to date.
  • Register CWC staff for various trainings and seminars.
  • Assist program department by ordering books, notebooks and essential supplies as needed.
  • Provide administrative support to teaching, program, RA, and 1st steps department.
  • Provide assistance in the creation and distribution of program calendar and teaching schedule.
  • Ensure resident forms are current and updated by administrative team.
  • Ensure office equipment and phone systems are maintained and in good working order.
  • Provide IT and Waypoint support as needed.
  • Oversee the management of the sound equipment -- training staff /residents.
  • Provide residential administrative support as directed by counsellors or client service manager
  • Ensure monthly stats are completed and sent to appropriate departments.
  • Submit monthly UGM Board Statistic Report.
  • Collect, record and process monthly program fees collected for UGM’s supportive housing.

 

 

Key Result Area #3: Training & Management of Front Office Personnel

  • Staff the admin office with volunteers and associate staff.
  • Equipped the volunteers to effectively fill the role of receptionist and front office PR personnel.
  • Train volunteers and managed effectively to complete the work of the front office.
  • Train and manager Associate Staff and High Impact Volunteers in their assigned ministry areas, taking functional ownership of ministry responsibilities.
  • Oversee monthly meeting with front office volunteers providing ministry updates, support, and on-going training once a trimester.
  • Have bi-monthly 1x1 meeting with front office volunteers.

 

Key Result Area #4 Reception/Public Relations

  • Volunteers are equipped to effectively fill the role of receptionist and front office PR personnel
  • Phone is answered within 4 rings and directed to appropriate person successfully
  • Public is greeted politely, need for service determined, and directed appropriately
  • Caller is greeted, listened to and heard, provided accurate information and treated with respect and dignity
  • Complaints are diffused with kindness and people are given accurate information
  • Utilize conflict resolution as needed addressing complaints, issues, and resolving problems.
  • Donors are thanked, appreciated and an acknowledgment made that their donation has made a difference
  • All public relations concerns/questions will be directed to community engagement director.
  • Ensure CWC staff is adhering to UGM policies and procedures

SKILLS & QUALIFICATIONS:

  • Committed Christian, able and willing to model servant-leadership and interested in being part of a ministry for the poor, homeless, drug addicted and mentally ill. Grounded in the Christian faith as a mature, active member of the body of Christ. In accordance with Union Gospel Mission Statement of Purpose, Statement of Vision and Statement of Faith.
  • Strong Interpersonal skills - exercise compassion, respect and be capable of cultivating productive working relationships across the ministry, while modeling the teachings of Jesus Christ.
  • As a unified team member, will honor the leadership, chain of command, and standards and ministry objectives of Union Gospel Mission.
  • Follows UGM policy regarding addressing and resolving conflict amongst team members, volunteers, & residents.
  • Know and able to communicate and embrace UGM’s cultural Core Values and their indicators. The Core Values are applied and observed
  • Computer literate with a high proficiency using Word, Excel, Outlook; able to complete documents, reports and accurately record information.

  • Minimum 3 years of sobriety, if in recovery.
  • Valid Washington or Idaho driver’s license– required.
  • Yearly TB clearance – required.
  • Criminal background check clearance – required.

EQUIPMENT/TOOLS USED:

  • Computer, Microsoft Office, Office 365 products, Virtuous CRM, UKG HR, Copier, Fax, Scanner, Reader Board, AV equipment, Multi line phone system.

 

EDUCATION/EXPERIENCE:

  • Minimum Two-year college degree in applicable field of study, or equivalent years of experience managing an office.
  • 2 plus years in Administrative/Executive Management preferable.
  • Experience using Microsoft Word, Excel, and power-point.
  • Experience in customer service with exemplar inner personal skills.
  • Highly organized with experience in managing and meeting deadlines
