Hiring Pay Range:

Business Services Admin Assistant I: $16.91 - $21.14

Business Services Admin Assistant II: $18.86 - $23.57

Pay Range:

Business Services Admin Assistant I: $16.91 - $25.37

Business Services Admin Assistant II: $18.86 - $28.29

 

General Purpose:

Performs a variety of routine and complex clerical and administrative support for the (DHS) Department of Human Services. Operates the front desks and waiting rooms at the Glenwood Springs and Rifle Department of Human Services. Greets customers, provides details about the services provided by DHS. Recommends additional community resource options. Assist customers with the completion of applications and other required forms. Assists other divisions with filing, gathering of data, scanning and other administrative support.

Essential Functions:

I/II:

  1. 100% Under close supervision, performs a variety of routine clerical, reception and administrative duties.
  • Greets customers at front desk. Provides program information and answers questions.
  • Uses computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; conduct research; create documents; and send emails.
  • Provides translation/interpretation services as requested. Translates documents, posters, brochures from English to Spanish.
  • Initiates program application process provides guidance to customers in filling out applications and other required forms. Follows State application processes and guidelines. Enters these into Laserfiche or routes these to technicians or case managers.
  • Works within the CBMS system, input re-determinations into started status, enter initial application information.
  • Scans applications and other documents into Laserfiche.
  • Answers and routes phones calls.
  • Assists customers with completing applications and other required forms.
  • Provide directions to and/or contact information for other resources within the community.
  • Processes incoming, outgoing and relay mail.
  • Prints, copies, assembles, distributes, and file documents.
  • Accepts and process all incoming payments for all programs. (i.e., checks through mail, child support payments dropped off by customers, etc.)
  • Distribute offices supplies, packages, and mail to all divisions.
  • Issues EBT cards.
  • Completes State notary training.
  • Keeps all supply and work rooms organized.
  • Works closely with other divisions to ensure State policies and procedures for applications and forms are up to date.

 

  1. Performs other duties of a similar or related level as necessary or assigned.
 
Position Requirements

Minimum Requirements: High school diploma or equivalent.

Minimum Experience: 1 to 2 years administrative or reception experience; Proficient computer skills in Microsoft software programs; Ability to speak, read and write English and Spanish.

Licenses/Certifications: Valid driver's license.

  4. Keyboarding, data entry and word processing skills.

  7. Basic bookkeeping practices for processing payments.
  8. Relevant computer hardware and software applications.

  2. Speak, read and write the Spanish language.

Required Physical Activities:

While performing the essential functions of this job the employee is frequently required to walk, talk, hear, reach, grasp, stand and sit for long periods of time; is occasionally required to lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, peripheral vision, and ability to adjust focus.

May occasionally be required to work and drive in outside weather conditions.

 

Work Environment:

May be required to attend evening meetings. May be required to work extended hours at discretion of Supervisor.

The noise level in the work environment is usually moderate to loud, with frequent interruptions and multiple demands.

 

Required Travel:

Occasionally required to travel between County offices and/or to meetings at other office locations.

 

Computers and Other Equipment:

Operate computer and relevant software applications; 10-key calculator; telephone system; postage machine; facsimile; copier; scanner; shredder.
