Description

Database Administrator and Analyst

Strathmore seeks a Database Administrator and Analyst to oversee all aspects and management of the Tessitura CRM system and related reporting tools and third-party integrations. Tessitura is the premier fully integrated CRM software system for arts and cultural organizations. Reporting to the Chief Financial Officer, this position is responsible for maintaining advanced knowledge of Tessitura and related software. As a key collaborator, the DA partners institution-wide with teams such as Marketing and Communications, Advancement, Ticketing and Patron Services, and Finance to optimize data operations while maintaining a holistic view of how each area relates to and impacts the other. The DA is responsible for providing technical expertise, convening, training, and strategic customization for all users (2) in the consortium environment, of which Strathmore is lead. The DA will also help the institution design and refine data analysis processes that allow stakeholders to measure return on investment, progress towards goals, and leads to more strategic decisions about viability and effectiveness.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

May include, but are not limited to:

 

Data Management, Integrity, and Hygiene

  • Serve as the main point of contact in troubleshooting, assisting, and educating end-users on the Tessitura platform. Manage system upgrades and maintenance.
  • Work with all departments to leverage existing Tessitura functionality and develop customizations accordingly to serve stakeholder needs.
  • Support and understand all Tessitura platform integrations and recommend beneficial changes and modifications when identified.
  • Partner with the Technical Lead, Senior Product Manager from Tessitura, as well as website Communications Manager on the development and testing of new TNEW functionality, ensuring its successful integration with Tessitura.
  • In coordination with Marketing / Communications and Advancement, manage and improve constituent communication protocols using Wordfly and Tessitura Contact Permissions. Assist in the generation of complex lists and extractions.
  • Regularly import and organize data from programs that are not fully managed within Tessitura.
  • Implement, maintain, and evaluate a training program for all Tessitura users.
  • Lead organization-wide effort to establish and uphold data entry standards, integrity, and privacy.
  • Perform quality control audits regularly to identify issues proactively, monitor accuracy and ensure system users follow procedures.
  • Manage data cleanup, including careful oversight and management of duplicate records. Run regular NCOA updates.
  • Create and maintain Tessitura technical documentation.
  • Interface with the Tessitura Network to facilitate problem solving and consultation on system questions and issues.
  • Lead the Tessitura Power User group in leveraging existing tools and developing customizations according to stakeholder needs, including analysis tools, reporting requirements, automation, and data usability.
  • Research and implement ideas to keep Strathmore at the forefront of Tessitura System Technology, including best practices in consortium management.
  • Provide after-hours support when needed for critical issues.

 

Analytics and Reporting

  • Lead projects with a data driven approach by assisting with research, analysis, and custom reporting using business intelligence tools such as Tessitura Analytics and Microsoft SQL 2016 queries.
  • Collaborate with all departments to conceptualize, develop, and manage custom solutions on Tessitura such as modifying existing reports, creating custom reports and outputs, and analytical dashboards.
  • Collect, track, and analyze institutional data, including attendance figures, numbers and types of programs, and demographics, so that the organization can better measure return on investment and progress towards goals, and can make more effective decisions.
  • Strategize with the Advancement and Marketing teams by developing predictive models based on behavior patterns and providing analysis support to help teams reach their goals.

 

Consortium Management

  • Act as the lead of the Strathmore consortium by serving as the first point-of-contact for member organizations, executing consortium-based projects, reinforcing data hygiene protocols related to shared data.
  • Run weekly queries to ensure control groups are in place and review the daily Constituent Audit Report.
  • Liaise between member organizations on complex constituent record changes including inactivating records.
  • Develop shared procedures and create “How To Guides” and upload to Tessitura’s Help System.
  • Manage consortium bi-weekly meetings and setting the agenda.

 

Administrative

  • Other duties as assigned.
  • 40 hours per week, including some evenings and weekends.

Position Requirements

QUALIFICATIONS

  • Minimum requirements: Bachelor’s degree (Information Systems, Technology preferred) or equivalent work experience in information technology or arts administration.
  • Expert in Tessitura database operations, or comparable CRM, ideally with TNEW / Wordfly integrations, complex membership structures, advanced ticketing set-up and Tessitura Analytics.
  • Proficiency in Microsoft SQL is required to maintain the Tessitura custom reports and utilities.
  • Experience with Microsoft SQL Server Management Studio (SSMS) and SQL Server Reporting Services (SSRS).
  • Experience successfully managing CRM upgrades in complex environments with multiple stakeholders.
  • Knowledge of control groups and past work in a consortium setting preferred.
  • Technically skilled and able to troubleshoot issues with Tessitura, TNEW, Wordfly, and other related areas, in partnership with IT, Advancement, and Marketing and Communications.
  • Knowledge of or ability to learn other systems as necessary (Blackbaud Financial Edge, Event Booking)

 

STATUS AND SALARY

This is an exempt, salaried position. Salary is commensurate with experience with a competitive benefits package including opportunities to attend a wide range of performances and events at The Music Center, The Mansion, and AMP.
