Description

Position Objective:  Support the Museum’s mission by being a key member of the Rentals management team, responsible for maintaining a positive and proactive work environment, and delivering an exemplary level of service to all guests, with a primary focus on birthday parties and private museum rentals.

Responsibilities

  • Act as primary point of contact via phone and email for 500+ birthday party clients annually, from initial inquiry to post-event evaluation, booking and taking payments for reservations in the CRM database, effectively managing all confirmations, reminders, and follow-up communications.
  • Provide leadership and training, including animal handling, invertebrate handling and themed programming, to 10-12 part-time Birthday Party educators to provide quality offerings, excellent service, and a safe, clean, welcoming environment.
  • Oversee all weekend Birthday Party logistics, including but not limited to associated scheduling of rooms, educators, reserved parking spaces, program delivery, supplies, third-party vendor ordering, and room setup/breakdown.
  • Meet monthly sales goals and manage budgeted expenses, performing reconciliation of revenues and expenses and forecasting monthly in collaboration with the Rentals Manager.
  • Maintain inventory of birthday party supplies in all Museum classrooms on a weekly basis and responsible for timely re-ordering.
  • Partner with Guest Experience Management Teams to provide a cohesive experience for all guests.
  • Keep hazardous chemical inventory and SDS sheets updated regularly, participating in annual inspections and disposals.
  • Collaborate regularly with other Museum teams to share spaces, create, evaluate and revise program offerings, and develop additional offerings to birthday party guests.
  • Create positive relationships with external vendors to ensure exceptional product delivery, sustaining a profitable margin, and meeting the needs of guests.
  • Support Rentals Team and provide coverage during periods of absence and peak seasons, including training and regular participation to maintain knowledge of policies and procedures.
  • Act as PAC (Program Animal Committee) Animal Handling Trainer and actively participate as a member of the Program Animal Committee in quarterly meetings.
    • Along with the Animal Care Director, Butterfly House Director, and Innovation and Learning team, determine staff members or volunteers to be trained on vertebrate and invertebrate animal handling.
    • Conduct all animal trainings and communicate with Animal Care Staff and animal handlers on a weekly basis.
    • Maintain up-to-date documentation and revise policies concerning animal sign out and animal welfare in collaboration with the Animal Care Team.
  • Attend and participate in Emergency Coordinator training and act as an Emergency Coordinator when the need arises.
  • Other duties as assigned.

Actual Pay Rate: 19.00/hour

 
Position Requirements
  • Bachelor’s Degree in Business or 3+ years’ experience in relevant field
  • 2+ years’ customer service and phone sales experience
  • Experience managing part-time staff
  • Experience working with young children and creating programs for a classroom environment
  • Excellent communication skills – written and verbal
  • Quick learner who works well under pressure with a positive attitude and creative problem-solving skill
  • Exceptional attention to detail and organization, with the ability to multi-task
  • Strong interpersonal skills with the ability to work independently and collaboratively in a team environment
  • Strong computer and Microsoft Office skills (Word, Excel, Outlook)
  • Able to work a Tuesday through Saturday schedule regularly plus some nights and occasional Sundays
  • Physically able to be on one’s feet for up to 8+ hours, travel distances of up to one mile on variable terrain, and lift 25 lbs.

Desired:

  • Able and willing to embrace Museum mission of science as a way of knowing
  • Previous event coordination or event management experience
  • Experience with CRM Software, especially Blackbaud
  • Interest or experience in education and/or science
  • Animal Care and handling experience
  • Bi-lingual Spanish-English

Py rate: 19.00/hour
