Patient Services Representative - Clinic

OVERVIEW: Provides support with the daily activities of a medical office including filing, telephone coverage, appointment scheduling, registration, and patient eligibility by performing the following duties.

WORK LOCATION: Elwha Health Clinic

SUPERVISED BY: Clinic Manager

POSITION STATUS: Regular/full-time with benefits

SALARY LEVEL: $16.50 - 17.50

WORK SCHEDULE: 40 hours per week

ESSENTIAL FUNCTION OF JOB:

  1. Routinely demonstrates superior customer service skills.
  2. Transfer calls to physicians and nurses when medically indicated.
  3. Accurately takes messages and conveys information to the recipient.
  4. Obtains current patient information from established and new patients.
  5. Schedules appointments and re-schedules appointments as needed
  6. Scans information into EHR
  7. Categorizes, dates, and labels loose medical documents.
  8. Scans loose medical documents per protocol.
  9. Accurately enters/updates patient information in the practice management system.
  10. Assists patient with completing paperwork when necessary.
  11. Identifies payer source, verifies insurance eligibility, verifies financial status and assigns correct pay type.
  12. Notes patient arrival in EHR.
  13. Accurately pre-screens medical/dental records.
  14. Prints schedules for upcoming appointments.
  15. Verifies insurance eligibility and obtains authorization for dates of service.
  16. Reviews Practice Management System for needed updated demographics and consent forms.
  17. Attaches needed updated demographics and consent for to schedule.
  18. Identifies patients by date of birth and name in RPMS, BMW scheduler or EHR.
  19. Sends letters to No Show appointments and notes is appropriately in the scheduler.
  20. Accurately imports registration documents into patient's electronic health record.
  21. Performs prescreening process for add-on appointments.
  22. Answers telephone in a timely and polite manner, preferably within three rings.
  23. Communicates with customers in a courteous, professional, cooperative and mature manner.
  24. Recognizes and responds appropriately to violent/abusive situations, bomb threats, and emergency situations.
  25. Protects/observes patient confidentiality per policies and procedures, CFR 42 part 2, and all pertinent HIPAA requirements.
 
Position Requirements

DESIRED QUALIFICATIONS:

  • Education/Training Level
  • High School Diploma or equivalent.
  • Medical Office experience preferred.
  • Communication Skills
  • Ability to effectively interact with physicians, patients and other staff members.
  • Ability to effectively read, write and type clear message electronically and verbally.
  • Technology Skills
  • Demonstrates knowledge of proper, safe, efficient usage of current office equipment and software.

OTHER DESIRED QUALIFICATIONS:

  • Experiences working with Native American and other diverse communities
  • Experiences with working with RPMS, Electronic Health Records or equivalent data based systems.

PHYSICAL REQUIREMENTS:

  • Duties are performed in a generally comfortable environment.
  • Prolonged standing or sitting may be involved.
  • Lifting at least 25 lbs.
  • Bending, squatting, stooping, reaching also involved.

WORKING CONDITIONS:

  • Job duties are routine in nature, but situation may vary occasionally; policy and procedure provide direction for solving non-routine situation. Employee is expected to consult with management for any situation for which precedent does not exist.
  • Job duties involve routine interaction with others, including providing assistance and limited direction. Contacts are generally, cordial and non-confrontational.
  • May be required to perform the duties of other employees, including supervisors/managers, in their absence.
  • May be required to perform duties and responsibilities not listed in this description, on a temporary or long-term basis.
