Description

The Office Manager is an administrative support professional who assists DRNY staff and the Director with a wide range of administrative tasks. The Office Manager will support DRNYs operations so that staff can stay on task and also ensure the smooth functioning of the office.


Essential Functions

The Office Manager will:

  • Direct callers from a multi-line telephone system, with incoming calls from people with disabilities, family members, friends, or other concerned parties;
  • Provide administrative and organizational support to DRNY staff;
  • Direct visitors to DRNY offices;
  • Communicate with suppliers, vendors, building management, and others on behalf of the office as assigned by the supervisor;
  • Sort, assess, and prioritize incoming mail for time-sensitivity and internal delivery;
  • Assist with drafting correspondence;
  • Legal and litigation support;
  • Act as a resource in the onboarding and off-boarding of staff and in collaboration with management;
  • Act as on-site support on the use of equipment and software;
  • Support scheduling, planning, and execution of office meetings;
  • Supporting onboarding and training of temporary employees;
  • Use multi-function office equipment to perform copy, print, scan, and fax tasks ranging from single documents to multi-part assignments;
  • Respond to office needs, including refilling paper and toner in printers and tracking supply needs;
  • Organize, file, and transport client and case electronic and paper files;
  • Work both independently and with small teams to complete projects with appropriate deadlines;
  • Manage car-related matters including registration, inspection, and maintenance;
  • Maintain accurate time records and client records and follow up with other staff on submitting records necessary for DRNY to meet its programmatic and fiscal responsibilities;
  • Perform additional tasks consistent with skills, abilities, and general responsibilities as required to support DRNY and as needed or directed by supervisor;
  • Occasional travel throughout New York State and outside of New York State as necessary to perform assigned job tasks;
  • Drive DRNYs vehicles including an accessible van.

Qualifications

  • Excellent communications skills;
  • Excellent interpersonal skills;
  • Past experience working as an office manager in a law office or as a paralegal strongly preferred;
  • Ability to maintain a professional demeanor and communicate tactfully even under pressure;
  • Professional phone etiquette;
  • Associates degree or 3+ years of relevant experience;
  • Proficient in Microsoft Office Suite;
  • Database experience preferred;
  • Bilingual language skills preferred but not required;
  • Ability to work efficiently, independently, and collaboratively;
  • Detail oriented;
  • Strong organizational skills;
  • Ability to multi-task;
  • Ability to work with a diverse group of individuals;
  • Experience working with or for people with disabilities preferred;
  • Proof of COVID vaccination required;
  • Able to work remotely with personal internet access;
  • Must work and reside in New York state;
  • Valid New York State Drivers License.

Working Conditions

The Office Manager usually performs work remotely or in an office environment, but the mission of the organization may sometimes take the Office Manager to non-standard workplaces. An Office Manager may have some travel within and outside the state as necessary.
