SUMMARY

Under the direction of the Director of Event Services, the Event Manager is responsible for the successful execution of food and beverage operations for all Opportunity Village produced events, as well as other duties noted below. Oversees strategy, logistic planning of meetings and special events for the organization. Manages event budgets to ensure revenue and expenses are kept within established boundaries. Ownership of internal and external communications to ensure requirements are known and deadlines are met. Support other events within the department as required. Ability to manage creative people in a hectic environment with an eye on excellence. There are after hours and weekend responsibilities for this position that may require extended hours inside or outside of the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Magical Forest Duties

  • Manages culinary operations for Opportunity Village public and private events including the Magical Forest, HallOVeen and Vegas Fright Nights.
  • Adhere to all Clark County Health Districts regulations including proper safety and sanitation guidelines, including those related to storage, preparation and service of food and beverage.
  • Maintain proper inventory of food, cocoa, drinks, paper goods, supplies, etc.
  • Coordinate food delivery and pick-ups with necessary parties.
  • Create schedule for all seasonal food employees, including the scheduling of staff for park buy-outs and private parties.
  • Post and disseminate staff schedules one week in advance and monitor that staff adhere to scheduling guidelines.
  • Train nightly volunteer food service community partners and engage them in the spirit of their service with compliments, encouragement and appreciation.
  • Research possible opportunities for OV owned mobile food service equipment, such as the funnel cake trailer, train barbeque or corn roaster, to be used at offsite events to produce additional revenue and community awareness.

 

Camelot Duties

  • Manages Culinary and Beverage operations for Opportunity Villages’ Camelot event.
  • Collaborate with the Director of Event Services, Foundation staff, OV Leadership, OV Culinary staff, outside catering, beverage and décor vendors and volunteer hosts and servers to strategize event goals and outcomes determining the best practices for events to enhance donor cultivation and relations.
  • Assist Director of Events Services with strategy and logistic planning of Camelot and its event budget to ensure revenue and expenses are within established boundaries.

 

General Event Manager Duties

  • Works with event managers in developing goals, deadlines, oversight of critical paths and event timelines.
  • Develops and refines event management procedures that will ensure timeliness of event planning, implementation and execution.
  • Work in conjunction with Business Office and Event Staff in preparing event budgets to achieve annual revenue goals.
  • Attend fundraising events and provide on-site support, as needed.
  • Collaborate with major gift team to coordinate donor interface with events.
  • Ensures timely reconciliation of event expenditures in order to ensure adherence to pre-approval events budgets.
  • Undertakes special projects and assignments as directed, including support and MOD duties of the Magical Forest, as needed.
  • Performs other duties as assigned.

 

 

 
Position Requirements

SKILLS REQUIRED

  • Possess excellent time management and organization skills.
  • Must have a working knowledge of the Southern Nevada Health District policies and procedures.
  • Knowledge of culinary practices and food safety.
  • Strong interpersonal skill and the ability to work with all levels of management.
  • Proficient in all programs of Microsoft Office Suite.
  • Willingness to work evening and weekend hours.
  • Creative problem solver who is able to “think outside the box.”
  • Detail oriented with ability to set priorities and manage multiple tasks and deadlines.
  • Strong work ethic and commitment to excellence.
  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Must possess social perceptiveness to assess and understand other’s reactions and behaviors.
  • Ability to manage people in a hectic environment while remaining calm.

 

EDUCATION AND EXPERIENCE

  • Required: Three to five years’ experience in hospitality, sales, catering, fundraising or applicable field or related field. 
  • Required: Southern Nevada Health District Food Handlers Card.
  • Preferred: Minimum of two years managing a staff.
  • Preferred: Prior experience working with individuals with intellectual disabilities.

  • Ability to conduct tasks and successfully perform under critical deadlines.
  • Manual dexterity to operate office equipment and examine documents, records and files.
