Description

CAFB is seeking a Donor Services Coordinator who will play a critical role in supporting the efforts of the food bank’s fundraising teams and provide general and administrative support for the department. As the first point of contact for donors, this person must always represent the organization in a clear, caring, and encouraging way – spoken and written. As a database coordinator, the person in this position must maintain a high degree of accuracy at all times. All work is approached with a high-level customer service mindset.

The position demands the highest attention to detail, the ability to work autonomously in a fast-paced multi-function environment, a desire to work efficiently and improve systems and processes, and a passion for internal and external customer service.

Responsibilities

Donation Processing – approx. 70%

  • Help to insure an accurate and current donor database is maintained.
  • Update donor records with address changes, requests for no mail, contact changes, and changes in donor status in Salesforce as needed.
  • Enter donations and batches into CRM system quickly and accurately, which includes logging, sorting and batching gifts across multiple giving vehicles
  • Eliminate or merge duplicate donor records as needed.
  • Assist team members who sort, log, batch and enter daily donations into CRM (Sales Force).
  • Facilitate production and delivery of all acknowledgement letters and donation rejection letters (credit cards and checks).
  • Create individual opportunities in SalesForce for monthly ACH wire log and ensure these are all completed by development team prior to the finance department deadline.
  • Facilitate gift entry and reconciliation of stock donations.
  • Assist supervisor in developing and implementing appropriate systems to ensure accurate processing and fulfillment of all donations and grants, the accuracy and management of individual and institutional donor records and files, reporting, and prompt donor acknowledgement.
  • Assist supervisor in developing, implementing and updating standard operating policies and procedures.
  • Run, review and upload weekly acknowledgement reports to third-party production team.
  • Maintain letterhead supply for CAFB and key vendors.
  • Serves as main liaison for database and batch uploading system.

Customer service – approx. 30%

  • Monitor and responds to concerns from donors using mail, email and phone.
  • Makes calls to donors and prospects to thank, schedule visits, and/or extend invitations to events or other Food Bank related activities.
  • Plan and execute donor cultivation activities when necessary (i.e. birthday cards, tours, follow-up after events).
  • Manage all Friend of the Food Bank (sustainers) donor service needs.
  • Manage all stock gift donor service needs.
  • Manage all tribute gift donor service needs.
 
Position Requirements

Qualifications

  • 4 - 6+ years customer service experience, preferably with a non-profit organization (volunteer work included)
  • Working knowledge and application of Microsoft 365, including Word, Excel, Teams and PowerPoint
  • Experience with and working knowledge of fundraising CRM systems, preferably Sales Force
  • BA/BS from an accredited college or university preferred

Physical requirements

  • Physical activities involve sitting for 80% of the work day.
  • Occasionally lifts office supplies up to 20 pounds.
  • Ability to travel to sites, as needed, throughout the metropolitan area
