Job Purpose

Event Coordinator

From operations to facility upkeep, the Event Coordinator oversees corporate and private functions at a BUSY seasonal event space under the direction of the General Manager.

The ideal candidate will be self-motivated, energetic and sales-focused. MUST be able to articulate in a professional manner verbally and in writing, as well as have a professional appearance.

 

Duties and Responsibilities

  • Field inquiries regarding private events at the facility
  • Manage and update events calendar with tentative and confirmed business
  • Serve as primary contact for private event clients from beginning to execution of event
  • Regularly monitor client satisfaction in-person and through follow-up phone calls and emails
  • Handle complaints, cancellations, and all other vendor/client issues as outlined
  • Coordinate with client to create full vendor list for day of delivery. Vendors include caterers, florists, equipment providers and entertainers, as well as temporary staff, clients, guests, and any persons with limited access to the venue while ensuring all parties are abiding venue rules and guidelines
  • Liaise with numerous internal and external partners on a regular basisManage and update events calendar with tentative and confirmed business
  • Work with accounting team to ensure proper invoicing and reporting
  • Oversee interior maintenance of event spaces, including daily inspections to ensure condition is at the highest standard
  • Provide tours of the venue to prospective clients
  • Ensure all collection of fees prior to event/group as necessary
  • Setup/run display screens for events
  • Help with any lighting/audio for events
  • Accept payments for events through Point of Sale system
  • Complete Event Venue checklist for all events
  • Work with accounting team to ensure proper invoicing and reporting
  • Accept payments for events through Point of Sale system
 
Position Requirements

Qualifications

  • Must be available to work evenings and weekends
  • Excellent communication skills, both verbally and in writing
  • Prompt response to emails and phone calls
  • Sales focused and willing to drive more revenue through upselling
  • Motivated to increase profits through special events
  • Must be able to work in a team environment
  • Performs other duties as assigned
  • Must be accessible by phone/email at all times during October-January/February
  • College degree or equivalent

  • Facilities which include working at an ice rink

 

Physical Requirements

Must be able to stand for long periods of time. This position can involve sitting, standing, walking, running, stooping, lifting, carrying, pushing, and pulling.
