JOB SUMMARY: The Executive Assistant reports to and provides support to the Executive Director and the Board of Trustees, and aids in improving the communication efforts of Catholic Charities both internally (communications between Divisions and Central Administrative Services) and with external stakeholders.


  • Coordinate the efficient and effective flow of all information and correspondence to and from the Executive Director's office and also provide administrative support to the Associate Executive Director of Operations as needed.
  • Schedule meetings, assist in preparation of presentations and handle preparation for regular or quarterly meetings. Edit and/or write drafts of Executive Director's correspondence, reports and presentations.
  • Attend quarterly Board of Trustees meetings and take minutes, prepare meeting notice packets and other mailings, coordinate collection and distribution of reports to Board of Trustees from Board committees and provides support to Board Chair.
  • Staff Executive, Strategic Planning and Social Policy Committees of the Board of Trustees and Leadership Team and Quarterly Management meetings, take minutes, prepare agenda and send meeting notices.
  • Prepare and monitor Executive Office Budget (110). Provide assistance as needed with Operations (115) budget.
  • Maintain agency By Laws, Certificate of Incorporation and Organization Charts.
  • Plan and coordinate Board and Leadership Team Retreat, and assists the Human Resources Department with the Annual Employee Recognition Event & Holiday Party.
  • Supervise Office Assistant II role and duties and all interdepartmental work collaborations.
  • Participate in Employee Appreciation Committee.

Position Requirements


  • Associates Degree required.
  • Five years of office management experience.
  • Excellent organizational skills.
  • Proficiency in use of Microsoft Office Suite.
  • Writing and editing skills.

Proposed Salary $50,000 to $55,000/year
