Summary

The Accountant – Accounts Payable applies principles of accounting to assist with the preparation of financial statements and any other accounting-related functions by performing the following duties.  Assists in maintaining accurate accounting systems including primary responsibility for accounts payable, account analysis and financial reporting, and occasional back-up for Accounts Receivable. Utilize NetSuite software to process data and complete reports and other documentation.  .

Essential Functions include the following.  Other duties may be assigned.

Accounts Payable Functions (70%)

  • Process approved electronic requisitions checking for coding accuracy regarding program, department, grant, and department to ensuring proper approval levels.
  • Prepare electronic requisitions for reoccurring expenses such as rents and utilities and process using the accounting software.
  • Prepare checks for signature and file with supporting documentation.
  • Stay current on the rules and regulations regarding proper use of State and Federal grant funds.
  • Assist staff when necessary regarding proper coding of expenses and federal and state policies regarding purchases.
  • Meet with Accounting Team to go over proper requisitioning and year-end close out procedures.
  • Generate, audit and file payable reports along with supporting documentation.
  • Reconcile and analyze all related general ledger accounts on a monthly basis for accuracy of coding by program and department.

 

Accounting Assistance and Cash Receipts Functions (30%)

  • Assist in various report preparation to keep managers apprised of the agency’s financial status.
  • Prepare reports and submit billing for food program, CACFP for Iowa and Illinois.
  • Prepare for and assist with annual audit.
  • Compile and analyze financial information to prepare entries to accounts (general ledger accounts) to document transactions.
  • Process EFT (electronic fund transactions) each month.
  • Distribute expenditures, receipts, and receivables according to schedules.
  • Determine proper handling of financial transactions and data enters them into accounting software.
  • Monitor compliance with generally accepted accounting principles and company procedures.
  • Verify the accuracy of invoices and other accounting documents or records.
  • Review, investigate, and correct errors and inconsistencies in financial entries, documents, and reports.
  • Assist with implementation of any new accounting systems and accounting control procedures.
  • Seek continuous improvement for the organization's accounting operation.

 

Other (10%)

  • Prepare for and assist with annual audit.
  • Other projects as needed by the Business Administration department.
  • Assist or prepare correspondence, make photocopies, fax documents, and performs other clerical functions.
  • Process mail.
  • Attend meetings, trainings, etc. as needed or requested.
  • Assist the Controller with any accounting functions needing completed.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required. SAL Community Services requires all employees, including new team members, to be fully-vaccinated with the COVID-19 vaccine and show acceptable proof of documentation as of December 8, 2021. Education and ExperienceRequired: Associate degree in Accounting or an emphasis in Accounting from a college with at least one (1) year experience in Accounts Payable.  Minimum of two (2) years' related experience and/or training required in lieu of degree.  Preferred: Two (2) or more years' relevant experience in non-profit environment and/or with NetSuite. 

Computer Skills - Proficient in Microsoft Suite.

Physical Demands – Regularly required to remain in a stationary position, move or traverse, and use hands, fingers, and vision to operate computers. The employee must be able to lift 10 pounds. Corrected vision and hearing aids may be used to have capacity for normal range required for seeing/hearing others, answering phones, and interacting with others. This position works indoors.
