Position Summary: The Donation Coordinator is an exempt, full-time, benefits-eligible employee of House of Ruth Maryland (HRM), responsible for receiving and distributing in-kind donations for direct services and resale with the assistance of volunteers, serving as the point of contact for most third-party fundraisers, and assisting with stewardship for in-kind donors and third-party events. In-kind donation management includes evaluating and appropriately sorting incoming donations; storing and inventorying goods for HRM direct service clients and Ruth’s Closet resale, transporting and distributing donations and coordinating garment-recycling pick-ups. The Donation Coordinator also communicates with donors and members of the public to relay agency in-kind needs, appropriate information for third-party fundraising events, and stewardship communications for in-kind and small gift donors. Additional duties include accepting inventorying and organizing donation center spaces, returning donor inquiries, and appropriately thanking donors. To assist with these tasks, the Donation Coordinator must work in coordination with the Volunteer Coordinator to provide training, scheduling and supervision of volunteers

The Donation Coordinator must exhibit strong organizational and time management skills and be capable of engaging effectively with people from diverse backgrounds.

Primary Responsibilities:

  • In Kind Donations & Third Party Event Management:
    • Receive donations from individuals, businesses and organizations at Community Engagement Center (Baltimore) and Warehouse (Owings Mills) locations; greet donors, counsel donors on acceptable items, help move donations inside, offer receipts and thank them for their support. This currently includes Friday afternoon shifts in Owings Mills.
    • Evaluate and appropriately sort incoming donations following guidelines for items acceptable for HRM clients and for sale at Ruth’s Closet resale boutique.
    • Maintain an inventory control system, orderly spaces at the CEC and rented storage units, the warehouse, and the appointment calendar.
    • Coordinate with appropriate HRM staff to determine urgent agency needs and the timely exchange of commodities.
    • Communicate with potential donors to respond to questions, informing donors of urgent agency needs regarding third-party fundraisers and in-kind drives.
    • Coordinate with Amazon and other agencies dropping off regular donations.
    • Represent HRM in the community for fundraising/in-kind donation events at third-party events.
    • Assist the Events Specialist with coordination of the Adopt-a-Family program.
    • Distribute excess donations not needed to other charitable organizations and/or coordinate pick-up for garment and shoe recycling.
    • Maintain open communications with the Volunteer Coordinator for group volunteers and long-term individuals to assist in sorting/transporting donated goods as well as attending third-party fundraising events
    • Supervise volunteers ensuring appropriate coverage at donation centers and third-party events
  • Administration & Donor Stewardship
    • Regularly type up in-kind donation receipts and combine with online in-kind receipts, of donors asking for more information, as needed for agency use.
    • Follow up with written thank-you notes and paper receipts for exceptional items and important in-kind donors.
    • Updating the Amazon wishlist with urgent needs.
    • Utilize the marketing template for third party fundraising event flyers; Coordinate with marketing in line with the strategic marketing calendar for social media posts relating to highlighting in-kind donors and third party events.
  • Other duties as assigned


  • High school diploma required, Associate or Bachelor’s degree preferred
  • Superior organization skills and attention to detail regarding work and storage space
  • Excellent customer service skills required, experience working with volunteers a plus
  • Excellent writing and computer skills required, including Microsoft Word and Excel as well as email and calendar programs
  • Must be able to physically lift and carry 30-40 pounds and be able to stand for up to an hour at a time
  • Must be reliable, including have own transportation, a valid MD driver’s license and a clean driving record to qualify to use the HRM van for transporting of donations
  • Must have high ethical standards and successfully complete a background and credit check
  • Must be able to follow direction and when needed, initiate action, make sound decisions, and exercise good judgment and discretion
  • Must demonstrate flexibility and be able to multi-task in a fast-paced environment
  • Ability to understand intimate partner violence and its effect on our client population
COVID Policy House of Ruth MD no longer requires weekly COVID testing due to updated CDC guidelines.
