Executive Operations Coordinator

Description

PRIMARY FUNCTION: The Executive Operations Coordinator handles administrative and operational systems and procedures to support organizational achievement of its program and operations goals, along with providing support to organization senior leadership. Serves as a liaison with vendors and suppliers to maintain equipment, office & program supplies. Maintains office calendar of events, and assists daily with the workflow of the operations, finance, resource development and marketing departments. Trains staff in office procedures and equipment use. Maintains financial spending records and oversees membership database. This role also:

  • Manages specialized and cross-functional projects that impact Club safety, program quality, and operational effectiveness
  • Compiles, analyzes, and reports data for grants, Board and donor communications and key stakeholder engagement 
  • Supports alignment of Programs and Operations department through development of project management plans, meeting coordination, data management, and reporting.
  • Completes programmatic and operational assessments of systems, processes, and procedures necessary to maximize efficiencies and organizational resources.
  • Provides daily support and assistance to senior leadership in daily operations and management of the organization.
  • Serves as liaison between Headquarters departments and Club sites, assisting in organizational logistics related to travel, meetings, deliveries, events and daily activities of senior leadership & Club sites.
  • Manages operations databases, membership records & reports, and upkeeping of operations-related financial records & procedures. Produce operations and financial reports as needed and aide in formulation of procedures.
  • Processes requests from, and respond to, external stakeholders, community partners, volunteers, members, families and others, addressing concerns and directing individuals to the appropriate person as needed.
  • Ensures a clean, healthy, safe, positive, and fun environment is created and maintained, producing a sense of physical and emotional safety
  • Ensures that facilities, equipment and supplies are maintained and building concerns are addressed.

 

ADDITIONAL RESPONSIBILITIES:

1. Purchases supplies and equipment, in compliance with child safety and other relevant standards and procedures.

2. Exercises authority in solving problems relating to facility safety and programmatic supplies issues.

3. Maintains accurate records and oversee running of BGCA-required background checks.

4. Assumes other duties as assigned to assist in program development, event planning and daily Club operations.

 

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club professional staff to ensure a clean, healthy, safe, positive environment is created and maintained, producing a sense of physical and emotional safety, and minimizing risks in the Club's physical environment. Acts as liaison between Clubs professional staffs and Headquarters, along with meshing the workflow in-between Operations, Finance, Resource Development and Marketing Departments.

 

External: Maintains contact with Board members, volunteers, community contacts, Club members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisor.


While not required, it is preferred the individual can lift and move 25 pounds off the floor and around office as necessary.

 

 
Position Requirements

SKILLS/KNOWLEDGE REQUIRED: High school diploma required; Bachelor’s degree from an accredited institution of higher education preferred. Combination of education, training and experience equivalent to three years in office administration or organizational operations role/ Demonstrated knowledge of processes related to office management, interpersonal communication and ability to juggle multiple tasks & priorities.
