The Fleet Specialist is responsible for all things related to keeping the fleet operational, safe, & in compliance with all local, state, & federal regulations. This position adheres to company policies & procedures, governing regulatory requirements, & provides excellent service to VLS team members. ?

Responsibilities

  1. Ensuring regulatory compliance for all USDOT & FMCSA rules & regulations in the locations they cover.
  2. Compliance Auditing: Track and institute new compliance updates, medical cards, certifications, drivers trip records, expense reports, fuel receipts at their locations
  3. Coordinate any training of employees related to DOT compliance (HOS, ELD's, Unidentified Miles Assignment, etc.) and track completion records.
  4. Maintenance of DOT compliance files for all company drivers. Including annual MVR's & D&A Clearinghouse queries for all drivers as required
  5. Monitor Electronic Logging Device (ELD) program and establish driver instructions and guidance on use, maintenance, requirements, reporting frequency and troubleshoot
  6. Attend DOT committee to stay abreast on updates and upcoming projects.
  7. Complete and file regulatory paperwork and taxes. Such as MCS-150, 2290's, Heavy weight tax, fuel taxes, etc.
  8. Maintain and manage vehicle and equipment license and registration renewals.
  9. Audit licenses, registrations, and insurance of company vehicles-title work, renewals, inspections, and maintenances.
  10. Providing reports to management on upcoming expirations (driver qualifications, training, registration), hours of service, budgeting, schedules, maintenance, and fleet progress.
  11. Track roadside inspections. Ensure repairs are made and noted into inspection files
  12. Acquiring & renewing any state & industry specific equipment permits
  13. Manage and maintain equipment inventory database
  14. Compile & regularly audit equipment compliance binders that contain (registrations, insurance cards, permits, etc.)
  15. Spec out any new equipment that is being purchased, then take all the necessary steps to get said equipment roadworthy (registrations, insurance, permits, lettering, fuel cards, etc.)
  16. Manage the fuel card and wash card program, ordering new or replacements cards. Terminating cards and ensuring no fraudulent activity
  17. Manage and maintain company toll pass systems including managing transponders and payables for the fleet
  18. Prep any equipment that is to be sold for auction
  19. Work and build relations with external vendors, including mechanics to ensure compliance with records for vehicles and equipment's.

Position Requirements

Qualifications

  • High School Diploma/GED
  • Must pass pre-employment criteria
  • Minimum 5+ years’ experience in transportation (Preferred)
  • Must be organized & detail oriented
  • Must be able to pass a background check
  • Must be proficient with Microsoft Office programs
  • Regular travel throughout the region will be required
  • Knowledge of USDOT & FMCSA regulations
  • Strong verbal and written communication skills, strong interpersonal skills
  • Must be organized, flexible, and able to prioritize in a multi-demand and constantly changing environment.

  • Vision Capabilities include
    • Close Vision, Far Vision, peripheral vision, Depth perception and the ability to adjust focus
  • This position will require wearing personal protective equipment.
  • This position requires sitting for long periods of time with moderate standing, walking, twisting, squatting & kneeling.
