Assistant to the Executive Director 

About the Organization At Charlotte Bilingual Preschool, our mission is to prepare Spanish-speaking children for success in school and life by providing superior dual language, multi-cultural early childhood education. We are developing the premier model of culturally appropriate, dual-language early childhood education for Latinx children and their families in Mecklenburg County, North Carolina, and our nation. Our two-generation model:
• Provides 3- and 4-year-old Spanish-speaking children with superior dual language, multi-cultural preschool instruction in the only 5-star licensed dual language preschool program in North Carolina
• Helps families build literacy and kindergarten-readiness skills for their children from infancy to 5-years-old
• Offers family members the resources they want to become active participants in their children's early development
• Trains the next generation of professionally certified dual language early childhood educators
• Expands our reach by partnering with other early childhood education providers to employ our dual language early-education model
• Advocates state- and nationwide for our early-childhood education model, our children, and their families. We design advocacy tools with our families and supporters to encourage them to voice their views with policymakers about removing the systemic barriers that prevent them from thriving.

Our board of directors approved an ambitious strategic plan in early 2020 that includes dramatic expansion. In the next ten years, we plan to serve 1,500 children and their families. This growth requires that we expand our partnerships with other preschools; evolve our current preschool into a full-day early learning center; and greatly expand our region's credentialed dual-language early childhood educator workforce by offering a robust suite of resources to our family members starting on this career path.
 
Description

The Role

Reporting to the Executive Director, the Executive Assistant is responsible for providing comprehensive support to the Executive Director and Board of Directors. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems, with a high level of professionalism and confidentiality.

Esssential Duties

  • Act as the point of contact among the Executive Director, Board of Directors, team members, donors, and other external partners, ensuring consistent, effective communication
  • Manage information flow in a timely and accurate manner, anticipating needs and proactively reducing Executive Director's email burden
  • Manage Executive Director's calendar and set up meetings and prep time
  • Manage the Executive Director's email inbox, delegating next steps to other employees, sending responses as the Executive Director, and flagging emails that require a direct response
  • Support Board of Directors Meetings: create and disseminate agendas and pre-reads; schedule and set up conference room; take meeting minutes
  • Prepare Executive Director's expense reports
  • Make occasional travel and accommodation arrangements
  • Format information for internal and external communication - memos, emails, presentations, reports
  • Organize and maintain the Board and Leadership Team SharePoint libraries
  • Support projects for the organization as assigned, which may span event logistics, program support, or Advancement projects
  • Other tasks as assigned

Position Requirements
  • 2+ years of experience in Advancement or as an Executive or Administrative Assistant
  • Bachelor’s or Associate’s degree
  • Excellent written and verbal communication skills
  • Outstanding organizational skills, time management skills, and excellent attention to detail
  • Masterly level skills in Microsoft Office, specifically Outlook, PowerPoint, Word, and Excel. Knowledge of Microsoft Teams and Flow, as well as Zoom administration is a plus.
  • Demonstrated emotional maturity
  • Demonstrated professionalism in communications and ability to handle confidential information with discretion
  • Bilingual - Spanish/English
  • Demonstrated cultural competency and sensitivity
  • Passionate about early childhood education, economic mobility, and immigrant communities
  • Committed to excellence and continuous improvement
  • A self-starter with the ability to work independently and the motivation to self-teach
  • A creative problem solver with strong decision-making capability

Full-Time/Part-Time Full-Time  
Salary Range $50-60K
