Description

JOB PURPOSE:

This position supports the Sr. Director of Strategic Planning and Process Improvement through the planning, implementation, and tracking of all project activity for the organization. This position is directly accountable for leadership and success of projects and cross line business initiatives to support the growth of Endeavors. Success is measured by the value added to the internal sponsor and the external customer/clients served. High quality work must be performed and expected from others.

 
Position Requirements

ESSENTIAL JOB RESPONSIBILITIES:

Project Portfolio Management Duties:

  1. Lead and/or provide oversight for multiple projects and successfully to implement new process and technology that support growth and innovation in Endeavors.
  2. Coordinate cross line business initiatives.
  3. Manage project scope, ensure project objectives are met, and provide the appropriate level of detail documentation.
  4. Organize files and electronic documentation to ensure all project information is appropriately documented, secured, and accessible for current and future reference.
  5. Define project plans including key project activities, business and project resource requirements, and critical path.
  6. Build project schedules, negotiate timelines, and proactively track project schedule and assignments to ensure follow-through to agreed targets.
  7. Monitor the progress of the project and adjust as necessary to ensure the successful completion of the project.
  8. Manage the financials and timelines for each project to complete on time and on budget with high quality deliverables.
  9. Gather business and system requirements, identify and document user stories, option analysis and design of end-to-end business processes & business solutions.
  10. Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards.
  11. Apply risk management techniques, proactively identify, escalate, and resolve potential issues which may pose risk to successful project completion.
  12. Exchange information, data, and ideas with project team participants, sponsors, and project champions in an effective way to drive collaboration and optimization of projects.
  13. Apply effective project governance and establish a communication schedule to update stakeholders at all levels of the organization on the progress of the project
  14. Act in all negotiations with internal and external parties with the highest ethical standards.
  15. Demonstrate a high level of emotional intelligence when dealing with project participants that may be struggling to embrace the changes resulting from the project.
  16. Close the loop on completed projects
  17. Evaluate projects upon completion, create a report summarizing successes, notable issues, and lessons learned, and present report to the Sr. Director, COO, and CEO as required.
  18. Be a change leader and inspire trust in the organization.
  19. Facilitate innovation through project management and change.
  20. Participate in special projects.
  21. Other duties as assigned.

ESSENTIAL QUALIFICATIONS:

EDUCATION:

  • Bachelor’s degree in Business, IT, Operations or Supply Chain, required.
  • Master’s degree in Business, IT, Operations, or Supply Chain preferred.

EXPERIENCE:

  • Proven experience in project management, tracking projects and metrics in software, required.
  • Experience in developing criteria for and participation in the evaluation of 3rd party vendors and software due diligence exercises, required.
  • Three to five years leading change, waterfall, and agile projects, required.
  • Work with non-profits, preferred.
  • In-depth understanding of administrative procedures and departmental
  • An analytical mind with problem-solving skills
  • Excellent organizational and multitasking abilities
  • A team player with leadership skills

ADDITIONAL REQUIREMENTS:

  • Certification or Advanced Training:
  • Agile, required
  • SCRUM Master, preferred
  • Change Management, preferred
  • Communication Management, preferred
  • Waterfall Project Management, required
  • Communication skills. Project Portfolio Manager must be able to document and present their research and related information. Have excellent communication and organizational skills, is well versed in departmental procedures and policies, and can discover ways to do the job more efficiently, and effectively.
  • Computer skills. Project Portfolio Manager needs to have excellent computer skills. Strong knowledge and proficiency in all Microsoft Office software (Word, excel, Outlook, Project), Vizio or other Process Mapping software, Prezi, and SharePoint preferred.
  • Interpersonal skills. Project Portfolio Managers spend a lot of time working with constituents, directors and other professionals and must be able to develop good relationships. They must make everyone feel comfortable yet know what and when to share.
  • Organizational skills. Project Portfolio Manager will have multiple projects constantly. They must have the ability to adapt quickly to changing deadlines and priorities.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined at the employer’s sole discretion. Works business hours but position requires support before and after workday and weekends as assigned.

LICENSES: Drivers License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.
