Description

Position Summary
This position professionally and courteously provides efficient and detailed administrative services to support the staff.

Essential Duties and Responsibilities

  • Provide the timely completion of assigned actions and updates in CRM Software
  • Schedule Business Development meetings for prospective clients as requested
  • Maintain and provide business development reporting as requested
  • Maintain the master calendar ensuring meeting rooms are properly assigned, reassigning rooms as needed and notifying meeting participants of changes
  • Maintain expense records and receipts and provide monthly expense reports to manager
  • Copy, fax, scan and electronically file documents as needed
  • Coordinate client gift giveaways i.e.: hockey tickets
  • Cover the front desk during absences and breaks
  • Maintain the tidiness of kitchen
  • Provide notary service as needed
  • Coordinate the delivery of food for internal meetings as needed
  • Assist with the CFP/CE credit filing and reminders as needed
  • Stay current on technology updates and the usage of various company databases and systems
 
Position Requirements

Required Skills and Experience

  • Professional and courteous oral and written communication skills
  • Desire and ability to solve problems and improve processes
  • Ability to interact with employees, clients and vendors in a friendly, courteous and professional manner
  • Proficiency in Microsoft Office applications
  • Experience working with Web-enabled applications and database software
  • Ability to plan, organize, and prioritize workload efficiently and effectively
  • Ability to work independently and with teams

Preferred Skills

  • Basic understanding of financial/wealth management
  • Experience with CRM software

Education and Job Experience Requirements

  • 1 -3 years of high-level administrative experience
  • Bachelor’s degree preferred
  • Notary
 
Salary Range $50,000 - $55,000
