EMPLOYEE OWNER POSITION PURPOSE:

The Director of Community Services is a leadership position that is responsible for the support, development, and engagement of a team of Community Services Officers (CSOs).   The CSO preserves order and may enforce regulations pertaining to personnel, visitors, and premises per community, local, and state guidelines.  The Director of this team is accountable for the overall safety and security of the community, as well as serves as a partner to the General Manager and Board of Directors in recommending strategies to maintain a quality experience for all at the association.

JOB DUTIES AND RESPONSIBILITIES:

  • Maintain and communicate a work schedule for the CSOs, including relief and back-up plans
  • Adhere to local, state, and federal recordkeeping standards for policies/procedures, security memos, incidents, directives, etc.
  • Regularly train CSOs on appropriate safety and security protocol; perform written/graded assessments on at least a quarterly basis (send to HR for recordkeeping)
  • Maintain current knowledge of all association rules and regulations; train CSOs accordingly
  • Recognize and maintain high standards of confidentiality regarding privacy and affairs of the community employees, homeowners, guests, and vendors
  • Serve as a local ambassador for The Management Trust’s cultural and operational initiatives – such as daily huddles and reward/recognition events
  • Handle all small claims cases including court appearances and collection activity
  • Attend bi-monthly Covenants meeting; remain knowledgeable about governing documents pertaining to committee
  • Oversee the vehicle maintenance program for all security vehicles
  • In partnership with the General Manager, coordinate support for emergency needs – such as injuries, natural disasters, and related incidents; adhere to both Board as well as OSHA standards during the process
  • Review security protocol on at least a quarterly basis
  • Conduct regular inspections of alarm systems, gate access, cameras, and other security measures
  • Review all incident reports and conduct follow-up investigations with each involved party
  • Conduct continuous as well as formal annual CSO performance evaluations
  • Prepare reports for Board meetings, including ongoing surveillance measures, technology upgrades, and other proactive measures to further the objectives and quality of the community
  • Operate within the defined annual budget for community security and review monthly financial reports to ensure alignment
  • Other duties and special projects as assigned

QUALIFICATIONS:

  • High School Diploma (or equivalent); Associate’s Degree preferred and at least (5) years of experience in security, civilian or military law enforcement, or related
  • Proficiency in leading teams and varied shift scheduling – generally between 1-3 years
  • Be at least (21) years of age
  • First Aid/CPR certification required, or ability to acquire these designations immediately upon hire
  • Solid knowledge of Microsoft Outlook, Excel, and Word; intermediate skills a plus
  • Conflict resolution skills
  • Ability to meet deadlines and address time-sensitive issues
  • Superior multi-tasking skills
  • Excellent written and verbal communication
  • Ability to provide high-level customer service with astute attention to detail and organization
  • Must be a team player
  • Ability to manage workflow amid shifting priorities
  • Willing to learn Company process and procedures, and learn/use proprietary software
  • Adaptable and dependable with a solid attendance record
  • Professional and respectful demeanor with all internal and external customers at all times
  • Strong analytical, organizational, and problem-solving skills
  • Work independently, with little direction, and as part of a team
  • Ability to exercise considerable judgement, maintain confidentiality, and act with diplomacy and tact at all times

SPECIAL POSITION REQUIREMENTS:

  • Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including: computer, phone, copier/scanner, etc.
  • Use standard security equipment, including: radios and/or walkie-talkies, etc.
  • Be stationary or in motion for periods of time
  • Relocate up to (45) pounds
  • May be exposed to inclement weather or be required to work in environments or under conditions that require the use of protective gear and devices and/or awareness of personal safety and the safety of others
  • Travel to and from offsite locations

SCHEDULE & TRAVEL:

  • Monday-Friday from approx. 8:00 am-5:00 pm
  • This position may require occasional long hours to meet business needs
