SUMMARY

Under the direction of the Director of Service Contracts, the Administrative Assistant will perform the day-to-day administrative functions for the office of the Service Contracts Department.  The incumbent will possess a thoroughly demonstrated knowledge of principles and practices of office management, will exercise considerable latitude and discretion when carrying out assignments and handling material which may be sensitive and confidential in nature. This position entails using independent judgment when financial commitments are made on behalf of the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Responsible for handling/utilizing/reconciliation of department credit card.
  2. Order furnishings, equipment, and all supplies.
  3. Compile information and write monthly board reports.
  4. Support budget process.
  5. Manage and keep financial information up to date.
  6. Analyze data and develop special financial reports (i.e., financial evaluations and checking for accuracy in formulas within spreadsheets).
  7. Provide administrative support services and office management for the office of the Director of Service Contracts.
  8. Prepare and process Action Forms, PCT’s, Job descriptions for employee hiring.
  9. Maintain Directors calendar by scheduling, coordination, prepare and set up all meetings and confirming all appointments, conference dates agendas and location set-up.
  10. Formulate, proofread and distribute all letters, reports and correspondence.
  11. Oversee the completion and distribution of meeting minutes, reports, letters and memos.
  12. Process purchase order invoices, check requests and expense reports.
  13. Review and update employee timecards.
  14. Facilitates employee record keeping.
  15. Maintain the filing system for the office, including computer records to assure all information is secure and easily retrievable.
  16. Maintain the operational effectiveness of the office, including information technology, telephone communication systems and the physical attractiveness of the office.
  17. Keep and update records of business contracts (i.e. mailing and emailing addresses, fax and telephone numbers.
  18. Resolve matters not requiring the personal attention of the Director of Service Contracts, using a thorough knowledge of office terminology, procedures and equipment in aiding others with their administrative needs.
  19. Perform special projects and other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES

  • This position has no staff supervisory responsibilities.

 

 

 
Position Requirements

SKILLS REQUIRED

  • Computer literate.
  • Must possess basic math skills (i.e. adding, subtracting, etc.).
  • Ability to read, analyze and interpret written information.
  • Ability to interpret instructions, gain knowledge and have initiative.
  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Must possess social discernment to assess and understand other’s reactions and behaviors.
  • Ability to define problems and draw valid conclusions.
  • High energy, positive and enthusiastic outlook.
  • Self-directed, with strong ability to work independently, and to set and adhere to deadlines.
  • Ability to set priorities follows through to completion of tasks, work well under pressure, and maintain a high level of confidentiality.
  • Must encompass professional demeanor.

 

EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent along with two (2) years of verifiable administrative work experience.
  • Required:  Computer literate and must be proficient in Microsoft Office products (i.e. Word, Excel, Outlook and PowerPoint).
  •  Preferred: Experience working with individuals with disabilities.
