Role and Responsibilities

Responsible for directly supervising the Trust Operations Department in order to provide efficient and accurate trust accounting, record keeping, and reporting services; participating with the President/Chief Executive Officer Investments and Trust Services in establishing specific goals for the unit and implementing strategies to achieve those goals developed as part of the Division's annual operating plan; insuring unit compliance with all operating policies and procedures; monitoring expenses and initiating and implementing budget for department; performing all of the duties of a Trust Operations Assistant.

ESSENTIAL DUTIES

  1. Directly manages the Trust Operations Department and Trust Systems in order to provide efficient and accurate trust accounting, record keeping, and reporting services as follows:
  1. Develops trust operations procedures and programs designed to ensure the efficiency and accuracy of trust, estate, and employee benefits accounts, accounting, record keeping of trust and related accounts, reporting information used in client reports, tax reports, management reports, etc.
  2. Schedules and implements regular vault and security verification; monitors the status of security movement.
  3. Monitors the security on blank checks and maintains procedures to ensure proper number sequences.
  4. Establishes a review process which includes provisions for reporting, controlling, and prompt resolving of errors.
  5. Establishes and maintains all fee schedules.
  6. Prepares and maintains all department call, OCC, and FDIC reports.
  7. Create customized reports for management, administration, and operations as needed.
  8. Manage system security by monitoring system access and staff usage.
  9. Maintain daily processing functions to insure operability.
  10. Install/supervise system enhancements and releases.
  11. Design/maintain work flow interface between administration and operations.
  12. Provide training to staff for trust processing functions.
  13. Create/maintain trust statement formats.
  14. Serve as the point person for audits and examinations.
  15. Manage the Trust Assist account processing/reconciliation.
  1. Participates with the President/Chief Executive Officer Investments and Trust Services in establishing specific goals for the unit; implements strategies to achieve these goals.
  1. Determines work procedures, prepares work schedules, and expedites work flow.
  1. Coordinates departmental tasks with coworkers inside and outside the department in order to ensure an efficient process and the completion of essential tasks needing proper segregation of duties.
  1. Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; complies information as necessary or as directed and provides date to appropriate bank personnel.
  1. Responds to inquiries relating to his/her particular area, or to requests from customers, other personnel, etc., within give time frames and within established policy.
  1. Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of sexual harassment and other forms of illegal discriminatory behavior in the work place.
  1. Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the bank's compliance with all regulatory requirements, e.g. Community Reinvestment (CRA), Bank Secrecy Act (BSA), Equal Credit Opportunity Act, etc.
  1. Directly supervises assigned personnel as follows:
  1. Assists in the selection of new personnel as appropriate.
  2. Makes provisions for the proper orientation and training of new personnel; trains new personnel as required.
  3. Reviews employee performance throughout the probationary period and on a regularly scheduled basis thereafter.
  4. Organizes, schedules, and distributes work among assigned personnel.
  5. Keeps personnel informed of pertinent policies and procedures affecting the unit and/or their jobs; creates an atmosphere in which upward communication from employees is encouraged.
  6. Administers personnel policies and procedures as established by bank policy.
  1. Communicates with the President/Chief Executive Officer Investments and Trust Services, other unit supervisors, and appropriate staff personnel in order to integrate activities.
  1. Provides timely reporting to the President/Chief Executive Officer Investments and Trust Services and other appropriate groups or individuals.
  1. Performs all the duties of a Trust Operations Assistant. (See Trust Operations Assistant II and Trust Operations Assistant I Job Descriptions.)
  1. Perform duties relating to tax processing.
  1. Provide assistance to administration for the preparatory work to create 1099's 1099R's and 5498's.
  2. Print and assist with mailing if needed all 1099's, 1099R's and 5498's.
  3. Insure timely submission of all tax files to IRS.
  4. Assist administration and work with tax vendor as needed for preparation of personal and trust tax returns.
  1. Test development of new products; create procedures to allow processing and provides for the conversion of products.
  1. Performs various duties in order to provide efficient and accurate trust accounting, record keeping, and reporting services as follows:

  2. Record keeping of trust and related accounts
  3. Reporting information used in client reports, tax reports, management reports, etc.
  1. Communicates trust systems operations procedures to department personnel and other division personnel who need this type of information.
  2. Develops/maintains trust systems manuals
  3. Interfaces with data processing vendors: analyzes services, equipment, software, etc.; makes recommendations for changes or improvements.
  4. Reconciles trust operations problems with other divisional personnel.
  5. Analyzes the results of trust audits; takes required actions.

Ancillary Duties

  1. Attends annual Regional User Group conferences and National Conferences with approval of bank management.
  1. Performs tasks which are supportive in nature to the essential functions of the job, but which may be altered or re-designed depending upon individual or departmental circumstances.

 
Position Requirements

Education

A BS or BA Degree in Accounting, Business or related field normally required; specialized trust operations education and training.

Experience

A minimum of five (5) years' computer experience is required.

Preferred Skills

  • Proficient reading, writing, grammar, and mathematics skills.
  • Thorough knowledge of the trust operations, trust systems and trust accounting functions.
  • Knowledge of applicable trust regulations and tax laws.
  • Proficient interpersonal relations and communicative skills.
  • Demonstrated management and supervisory skills.
  • Proficient computer skills and knowledge of applicable hardware and software.

Physical requirements:

  • Occasionally ascends/descends stairs to move through the different floors of the location.
  • Occasionally positions self to accomplish tasks in various environments including tight and confined spaces.
  • Must be able to remain in a stationary position more than two-thirds of the time.
  • The person in this position needs to be able to move about inside the office to accomplish tasks.
  • Occasionally adjust or move objects up to 50 pounds in all directions.
  • Frequently communicates with others to exchange information.
  • Constantly moves wrists, hands, and/or fingers.
  • No adverse environmental conditions expected.
  • Sedentary work that primarily involves sitting/standing.
