Valley Community Services Board serves as the single point of entry into publicly funded mental health, developmental, and substance use disorder services for these localities.

Description

Valley Community Services Board (VCSB) is looking for an Administrative Assistant to join our ACT team! The Administrative Assistant is the support member of the ACT multi-disciplinary team.

Essential Functions

  • Responsible for organizing, coordinating, and monitoring all non-clinical operations of the ACT Team
  • Assists with monitoring due dates, deadlines to keep client records in compliance.
  • Provides receptionist activities including answering and triaging phone calls, coordinating communication between the team and clients, monitors and reports any behavioral issues that may occur in the ACT lobby.
  • Assists clients, families, and other agencies by helping them find requested information and operating and maintaining clinical records in the agency electronic health record.
  • Effectively attends to symptomatic behavior of clients who come into the office for appointments.
  • Provides clerical support to ACT Psychiatric Care Provider(s), supervisor, and staff
  • Attends daily morning rounds, and accurately tracks and enters data for monthly submissions.
  • Records admissions and discharges as a source of data to be reported.
  • Assists Team with maintaining client medical records according to standards set by DBHDS, DMAS and ACT Supervisor. 
 
Position Requirements

Knowledge, Skills, and Abilities

Knowledge of:

  • Basic knowledge of the ACT model of care and roles within the Team.
  • Computers and software.
  • Simplified accounting procedures, medical records management, Reimbursement policies and procedures; fee collections, insurance billing, medical and psychiatric terminology and crisis intervention.

Skills pertaining to:

  • People and problem-solving skills
  • Organizational skills and ability to make contacts and establish relationships to get information for the program
  • Establish supportive trusting relationships with persons with mental illness

Ability to:

  • Maintain cooperative, professional working relationships with staff, maintain strict confidentiality, work independently as well as a team member.

Minimum Requirements

  • High School diploma or equivalent
  • Education and experiences in the field of Human Services/Office management.
  • Must be able to comfortably interact with severely mentally ill consumers
  • Must have a valid VA driver’s license.
