Description

The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the Associate Registrar of Permanent Collections, the Coordinator will provide administrative and organizational support to the Registration and Collection Management department and head. The department encompasses collection stewardship in areas of registration, collection management, conservation, collection information, archive, and record management. We are seeking a well-organized, collaborative team member who can anticipate the needs of the department and ensure an efficient work environment.

You Will:

  • Serve as point person for general office procedures and inter-office communications on behalf of the department.
  • Coordinate department expense reporting procedures (e.g., ensure invoices are reviewed and approved by the department head and submitted in a timely manner; Track all registration related service agreements and contracts).
  • Help track and manage the department budget and ensure accurate and timely reporting in coordination with the department head.
  • Manage the department calendar and other department-wide project management schedules.
  • Assist with organizing meetings, notify attendees, and send reminders on behalf of the department head.
  • Assist with tracking the location of objects for purpose of object preparation, installation, loan, or temporary display.
  • Provide administrative support (e.g., Pull reports and checklists, draft correspondence, track conservation, loan, exhibition, archive, and acquisition statistics, data entry and cleanup).
  • Help maintain physical records in the administrative offices.
  • Ensure office and meeting spaces are prepared for the workday and upcoming meetings.
  • Coordinate cleaning and organization efforts in physical spaces.
  • Prepare agendas, correspondence, reports, and other requested documents.
  • Record minutes for department meetings and on behalf of the department.
  • Oversee and maintain inventory of office and specialty supplies and equipment for the department. Manage other department purchase requests.
  • Organize travel arrangements including airline, car, and hotel reservations for the department.
  • Manage incoming and outgoing mail for the department.
  • Conduct independent research and assist with special projects and special events.
 
Position Requirements

You Have:

  • A bachelor’s degree from an accredited college or university in art, art history, museum studies, arts administration, or a closely related field is required.
  • 1+ years of experience working within a museum or gallery collection, registration, archive, conservation and or curatorial department.
  • Strong attention to detail and organization.
  • Experience with full Office Suite including Word, Excel, PowerPoint, OneDrive.
  • Experience with Adobe software, Airtable, and other project management software desired.
  • Experience with best practices in museum registration, conservation, and/or archive methods, techniques, and information management systems.
  • The ability to work effectively and timely on a wide variety of projects concurrently, with concern for the tasks assigned and the goals of the department.
  • Interest, capacity, and organizational ability to excel in a fast-paced, diverse, multi-tasked environment.
  • The ability to manage multiple work processes and projects simultaneously with the ability to be receptive to changing priorities.
  • The ability to establish and maintain effective professional working relations with colleagues, volunteers, and interns, and the ability to effectively represent the Museum to outside professionals, lenders, donors, and members of the artistic community.
