Description

The Assistant Property Manager assists the Property Manager in all aspects of managing the property and staff, in managing daily operations, including, but not limited to, administration, financial management, record keeping, collections, maintenance and repair, capital improvements and resident services. 

The Assistant Property Manager assists the Property Manager to implement Peabody Properties policies and procedures to ensure that the property is being operated in accordance with the Board’s goals and objectives, and consistent with PPIs standards of business practice.

 

Responsibilities:

  • Maintain full and complete knowledge and understanding of the condominium documents for the site, to include rules and regulations.
  • Maintain full and complete knowledge of applicable local law governing the management of the site.
  • Assist the Property Manager in assuming on-site accountability for all property operations, including: client relations, administration, financial management, maintenance and repair and capital projects, in accordance with established PPI policies and procedures.   
  • Assist in the operation of the property with fiscal responsibility; using all reasonable cost saving measures to stabilize expenses. 
  • Assist in the oversight of all bookkeeping, accounting and collections.
  • Assist in preparing the annual operating budgets, accurately, completely and in a timely manner to submit for approval to PPI and to the Boards.
  • Schedule and assist the Property Manager in the noticing and preparation of all Board Meetings, Special Meetings of the Board and Unit Owners, and Annual Owner Meetings and Elections.
  • Assist in the performance of physical inspections of common areas daily.  Ensure that work orders are written and appropriately assigned for any necessary repairs or to correct noted deficiencies.  Follow up and monitor completion.
  • Assist in conducting annual preventive maintenance inspections in accordance with policy and track the completion of resulting work orders.
  • Keep Property Manager informed on all matters relating to property operations.  Offer practical suggestions/recommendations to the Property Manager to improve overall property condition and resident/management relations.  Notify Property Manager immediately of the occurrence of extraordinary events or emergencies.
  • Remember that the primary focus of on-site staff is to provide a high-quality living environment for the residents, and to proactively maintain the property.
  • Assist in maintaining an open line of communication with the residents to ensure all resident needs are met.
  • Performs other duties as may be assigned.
  • Maintain a professional decorum at all times and ensure that a positive example of competence, integrity and leadership is set for all staff to follow.

Position Requirements
  • Requires High School Diploma or GED with a minimum of 3 years' of strong condominium management experience.
  • Ability to provide a high-quality living environment for all condo owners
  • Ability to Respond to and resolve resident request in a timely, efficient, and courteous manner
  • Ability to operate property within financial guidelines and provide budgetary oversight
  • Knowledge of RealPage Onesite, including proficiency with Microsoft Word, PowerPoint, and Excel.
