POSITION SUMMARY

The Human Resources Coordinator will be responsible for general human resources activities, performed in a manner that accomplishes departmental goals to reflect the spirit, style and substance of Opus One Winery. Within and across departments, this position is responsible for maintaining a high level of confidentiality, accuracy and customer service. Additionally, will provide administrative support to the department and organzation through administration, coordination and application of companywide human resources policies, trainings, new hire recruiting and onboarding.

Essential Duties and Responsibilities include but are not limited to the following:

  • Assist Human Resources Manager with recruiting and new hire information processing, including job postings, interview scheduling and candidate follow-up.
  • Responds to EDD benefit audits and unemployment claims.
  • Serve as the main point of contact for all administrative tasks across the human resources department initiatives including but not limited to; employment verifications, employee updates, manages documentation (I9, employee files, training records, etc),
  • Facilitate a smooth onboarding process with managing background checks, IT set up requests, and any other first day needs in collaboration with the hiring manager.
  • Maintain HRIS in documenting and tracking personnel transactions – i.e. status forms, job changes, new hires, separations, etc.
  • Assists Human Resources Manager with benefit administration.
  • Maintain HR email inbox and respond to employment inquiries.
  • Works closely with the HR Manager, assisting in the administration of human resources policies, procedures, and programs to ensure that all supervisors and managers are fully knowledgeable of their responsibilities and the resources available to them.
  • Ensure compliance with federal, state, and city required reporting and postings.
  • Administer workers’ compensation claims process, including responding to workplace injuries, including investigation of accidents, reports, and claim management.
  • Under the direction of the Human Resources Manager, schedule, coordinate, and track all company safety trainings in Ascentis TLM.
  • Support HR Manager with safety program as needed.
  • Maintains compliance with federal/state reporting (OSHA 300 log, EEO, Manufactures Survey, etc).
  • Be first line contact for HRIS platform questions.
  • Assist HR Manager in coordinating employee wellness activities such as EAP brown bags, open enrollment meetings, health fairs, etc.
  • Serve as backup for payroll processing in Payroll Coordinator’s absence.
  • Maintain and distribute Company phone list and organizational chart monthly.

JOB REQUIREMENTS

Education and/or Experience

Two to Four (2-4) years of human resources experience, preferably in the wine industry; High School diploma required, college degree preferred. Ability to speak fluent oral and written Spanish preferred. SHRM-CP, SHRM-SCP, PHR or SPHR Certification preferred.

Skills

Must be comfortable with web-based processing programs that are highly customized and proprietary to Opus One. Proficiency with MS Office Suite (Excel, Work, Outlook, Powerpoint, Microsoft Teams) required. In addition, specific experience with Ascentis HRIS, Ascentis Timekeeper and Payroll preferred.

Must be comfortable coordinating various departments and working with different personalities – being assertive and understanding of different departmental needs.

Must be able to collaborate with the Human Resources Manager and Vice President of Human Resources when employee relations issues arise, while maintaining absolute discretion. Must also always maintain confidentiality and security with regard to highly sensitive employee information.

Physical Demands

While performing the duties of this job, the employee is regularly required to handle and feel. The employee is occasionally required to move throughout the winery. Employee must be able to remain stationary for periods up to four (4) hours. The employee must occasionally move up to 40 pounds. Specific vision abilities required by this job include close vision.
