Salary Min. $56,413 - Mid. $69,952 (DOQ)  
Position Requirements

Minimum Education and/or Work Experience Requirements:

Must be able to work weekends, holidays, and events as required. Traveling to and from events will be required.

High School Diploma or G.E.D; supplemented by five (5) years of progressively responsible as a community activist, organizer, or advocate, or training in municipal law.

Additional work experience in office administration, customer service, record management, and personal computer operations; or any equivalent combination of education, training, and experience — preferably supporting an executive in a municipal environment — which provides the requisite knowledge, skills, and abilities for this job.

Masters of Social Work or undergraduate degrees in Sociology or Psychology preferred.

Description

Position Summary:

This position is responsible for responding to constituent requests and coordinates community events for the Office of the Mayor. Staffs the Mayor at community events. It serves as a backup to the Chief of Staff, and assistance in administrative tasks.  

Essential Duties and Responsibilities:

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

  • Works independently to research & resolve constituent concerns and requests for service; facilitates communications and conveys information amongst department/division personnel and initiates appropriate action/response; coordinates projects and activities; coordinates, conducts, or attends staff meetings to review department plans, progress, budgets, and other activities.
  • Presents to City Council and the public on current government processes and proposed policy changes.
  • Tracks & trends constituent complaints and response/resolution progress and timelines; prepare presentations on trends in constituent concerns for the council and the public; receives various forms, reports, correspondence, logs, lists, schedules, calendars, invoices, statistical data, minute books, catalogs, laws, regulations, ordinances, policies, procedures, manuals, directories, reference materials, or other documentation.
  • Plans events such as town halls, ground-breaking ceremonies, dedication ceremonies, or other activities to include preparing meeting agenda documents; coordinating meeting facilities, equipment, and refreshments; records and/or transcribes meeting minutes; distributes meeting minutes to departments and other individuals, including City Council.
  • Must be able to create experience with Google Sheets, Microsoft Excel, SAP, and/or other advanced CRM databases preferred. Experience in PowerPoint, KeyNote, or other presentation software preferred. Experience in social media content creation preferred.
  • Must be able to communicate with all levels of management and council members and demonstrate the ability to work collaboratively with all staff and council members.
  • Provides administrative services travel, and attends events as assigned.

Performs other related duties as required.

Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing, and/or pulling of objects and materials of light weight (25 - 50 pounds). Tasks may involve extended periods of time at a keyboard or workstation.

Sensory Requirements: Some tasks require the ability to communicate orally.

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
