Job Summary/Objective

The Audit Manager is responsible for the daily management, staff and resource allocation, and service delivery of Audit Services for eCatalyst. Scope of responsibility incudes internal audit and external audit clients.

The Manager is responsible for meeting all company, coding, and auditing metrics and KPIs. Metrics and KPI's include quality, productivity, turnaround time, employee satisfaction, customer satisfaction, budget, etc. The Manager is responsible for the use of eCatalyst's audit tool ReviewMate.

The Manager works in conjunction with the Director of Audit and Education to ensure all clients' coding quality metrics, KPI's, and Services Level Agreement (SLA's) are achieved. They also work with the Human Resources Department to hire, manage, and provide corrective action for auditing and education staff when necessary.

Essential Functions/Position Requirements

Overview

  • Work with the Director of Audit and Education to establish an audit profile for each client that meets company and client specific metrics, SLA's and KPIs.
  • Maintain current documentation regarding each client's audit program, including focus areas.
  • Hire and assign auditors based on need, credentials, and experience.
  • Ensure auditing is performed regularly, as outlined in eCatalyst's compliance and audit policies and the client audit profile.
  • Develop and compile audit reports, analyze results, and distribute as instructed.
  • Report audit results for each coder/auditor and each client monthly.
  • Provide specific audit result feedback to coders regarding audit results, including educational materials, instructional aids, checklists, and resources.
  • Audit the quality of the work performed by medical coders and auditors to ensure adherence to client and company guidelines and standards.

External Auditing

  • Meet with clients to develop an audit profile, document the profile, and communicate expectations with the team.
  • Assign auditors to external auditing clients and projects based on credentials, experience, and availability.
  • Set up coding audits within the audit tool to maximize quality and efficiency.
  • Audit assigned auditors to ensure quality standards and KPIs are consistently achieved.
  • Review and respond to rebuttals to ensure quality and adherence to standards.
  • Produce audit deliverables, summaries, and review audit detailed reports before submitting them to clients.

Education and Training

  • Identify training needs based on audit results, coding and regulatory changes, and new technologies.
  • Research updated coding information, rules, laws, and statutes for all payers and government entities on an ongoing basis and report to the team.
  • Assist in updating all internal assessments (new hire and new position).
  • Provide internal and external training to eCatalyst staff and clients.

Supervisory Responsibilities

  • Identify staffing resources, skill levels, certifications, and experience required to achieve client goals, metrics, SLAs, and KPIs successfully.
  • Work with Human Resources to identify 'A Player' employees for specific assignments.
  • Establish work schedules and ensure resources are available to meet client demand.
  • Monitor productivity daily and work with staff to meet or exceed standards.
  • Work with Director of Audit and Education to monitor and improve coding quality.
  • Provides ongoing performance feedback and coaching to audit staff. Documents employee work performance on a routine basis, and if necessary, initiates the disciplinary action process in conjunction with human resources.
  • Identifies, tracks, and reports key barriers and process defects to the client and leadership teams on weekly basis.
  • Continuously evaluates resource allocation and identifies long and short-term needs. Works with coding and audit leadership colleagues and the corporate team to ensure appropriate staffing.
  • Maintains an effective meeting rhythm with auditing teams. Effectively communicates client and company information on a routine basis. Conducts 1:1 meetings with staff. Attends and actively participates in company meetings.
  • Responsible for ensuring staff are working reported hours and payroll entries are correctly recorded daily to ensure accurate and timely payroll processing.
  • Review timecards daily and approve timecards per established guidelines.
  • Communicate performance expectations to staff and routinely provide performance feedback, including 1:1 meetings, formal evaluations, and regular team meetings.
  • Meet KPIs related to team member productivity, quality, and staff satisfaction/retention.
  • Promotes employee engagement, enhanced moral, productivity, retention, and a culture of teamwork and respect.
  • Provide ongoing coaching and development of staff to help them achieve their professional aspirations and meet company employee satisfaction and retention goals.
  • Maintain current knowledge regarding coding guidelines, payer policies, OIG work-plans, and industry trends.
  • Serves as a subject matter expert on coding, compliance, and payor requirements, etc.

Thought Leadership

  • Maintain current, expert knowledge regarding coding guidelines, payer policies, OIG work-plans, and industry trends.
  • Develop and deliver presentations on best practices, industry change, and operational improvements to clients and industry groups.
 
Position Requirements

Required Education and Experience

  • Baccalaureate degree with an emphasis in Health Information Management (HIM) or similar field.
  • CCS, CCS-P, or CPC certification required.
  • 8+ years of medical coding experience.
  • 5+ years of auditing medical coding experience.
  • 3+ years of leading HIM operations, medical coding, or auditing teams.
  • Expertise in Inpatient, Outpatient, and Profee Coding
  • Proficient with providing medical coder/auditor education and feedback.
  • Demonstrated experience developing and maintaining client relationships.

Preferred Education and Experience

  • Master’s degree with an emphasis in Health Information Management (HIM) preferred.
  • RHIA, RHIT, CCS, or CCS-P certifications are preferred.
  • Experience working as an auditor with a comparable coding service.
  • Excellent technical skills, including experience with multiple encoders, EMRs, Learning Management Systems. and ReviewMate.
  • Proficiency with Microsoft Excel, Word, PowerPoint, and Teams.
  • Excellent verbal, nonverbal, visual, and written communication skills.
