Essential Duties and Responsibilities

Responsibilities:

  • Provides direct supervision to assigned staff in order to enhance their technical skills sets, leadership qualities and administrative functions
  • Provides on-going support to staff to assure completion of job responsibilities
  • Carries out supervisory responsibilities in accordance with the agency's policies, applicable laws and governmental regulatory agencies
  • Reviews staff responsibilities to determine time frame and scope of authority, reviews staffing requirements, and allotments of available resources
  • Evaluates staff productivity and documentation of service delivery
  • Confers with staff to provide technical advice and to resolve problems
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems
  • Assures new staff, students and volunteers receive departmental orientation and required training
  • Works toward accomplishing and adheres to department/Agency goals, ethical standards and the laws and regulations which govern the overall mental and healthcare industries
  • Maintains confidentiality and immediately reports to management breaches in confidentiality
  • Practices job requirements on an accurate, timely and regular basis
  • Observes and maintains appropriate professional boundaries with clients, co-workers and supervisors
  • Attends all scheduled meetings as assigned
  • Meets relevant continuing educational/training requirements
  • Completes all required documentation/paperwork accurately and within established time-frames
  • Accurately and on a timely basis completes tasks required by the Agency’s time collection system
  • Fulfills all CPNJ mandatory requirements, as required by CPNJ
  • Knowledgeable of, and practices the organization’s health and safety policies and procedures, including but not limited to fire safety and emergency preparedness, infection control procedures and incident reporting
  • Preparation of contracts and budgets based on organization's performance, estimated revenue, expense reports, and past budget numbers
  • Maintains Grant and Contract records in both ‘hardcopy’ and electronic formats that meet both internal needs and external audit requirements
  • Reviews operating budgets periodically to analyze trends affecting budget needs
  • Consults with department heads to ensure adjustments are made in accordance with program changes in order to facilitate long-term planning
  • Reviews expenditures of departments to ensure compliance with contracts and budgets
  • Collects and maintains records of actual operating expenses to compare with estimated budget
  • Prepares regular and special budget reports to interpret budget directives and to establish policies for carrying out directives
  • Prepares comparative analyses of operating programs by analyzing costs in relation to services performed during previous fiscal years and submits reports to the VP of Finance of organization with recommendations for budget revisions
  • Prepares data for fund-granting authorities regarding proposed budgets to clarify reports and gain support for estimated budget needs
  • Assists in preparation of external audit materials and external financial reporting
  • Reviews financial statements with management personnel
  • Assists in the timely reviews of organization's financial status and progress in its various programs and activities.

Education/Experience:

  • Bachelor's degree (B. S.) from four-year accredited college or university; and five to ten years related experience and/or training; or equivalent combination of education and experience
