Resident Services Coordinator (RSC) Job Description

OVERVIEW: Under the direct supervision of the Executive Director, the Resident Services employee will be responsible for tenant relations and assist in the overall performance of property management of the Lower Elwha Housing Authority rental units. This person will be the immediate resource to tenants, perspective tenants and other outside entities. The RSC performs clerical and administrative duties such as: answering phones, sending tenant notices, creating files, file maintenance, data entry, newsletter articles, typing meeting minutes, accepting payments and occasionally working with families on an individual and/or group basis.

Supervised By: Executive Director

Position Status: Full time w/benefits

Salary Level: DOQ

Work Schedule: 8:00 am to 5:00 pm, with one hour lunch

Essential Functions of Job:

  • Maintain up to date and prioritized waiting list of all applicants for all rental units.
  • Maintain housing software and an updated tenant list to include phone numbers and addresses.
  • Schedules any and all required informational meetings with tenants.
  • Assist with annual recertification for all occupants including family composition, income, releases and calculation of monthly rent payments.
  • Process payments in the form of cash, check or card, according to LEHA credit card policy, from the payee and accurately records payments in the tenant's ledgers and in the housing software.
  • Maintains current and accurate tenant files.
  • Processes any mailings for current tenant and other program participants. Which could include: general letters, memos, delinquency notices as well as follow-up letters and other correspondence pertaining to Housing Authority work.
  • Corresponds with maintenance staff in regards to scheduling inspections of units for cleanliness, family composition and adherence to lease agreement.
  • Prepares work order requests for maintenance staff.
  • Prepare bank deposits for the Assistant Director.
  • Act as Recording Secretary to the Board of Commissioners.
  • Process outgoing mail, sort and distribute incoming mail for the housing authority.
  • Order supplies for office and rental units as needed.
  • Must maintain required CONFIDENTIALITY and meet all Tribal, state and federal confidentiality policies and rules.
  • Ability to work well with people of all ages and cultural/economic backgrounds
  • Other duties as assigned.

Knowledge and skills and abilities required by the position:

  • Ability to comply with Lower Elwha Housing Authority policies and procedures.
  • Ability to work independently and as a team member with other office personnel.
  • Ability to communicate clearly and effectively, both orally and in writing.
  • Ability to maintain and respect strict confidentiality covering all personnel and tenant information.
  • Ability to complete assigned work efficiently and accurately.
 
Position Requirements

Minimum Qualifications:

  • High School diploma or GED;
  • Computer/data management experience including Microsoft Office (word and excel);
  • Must be able to work with multiple projects and priorities in fast paced environment;
  • Ability to read, understand and follow oral and written instructions;
  • Current Washington State driver license;
  • Basic filing skills using alphabetical and numeric;
  • Basic computer keyboard skills;
  • Ability to perform data entry tasks as necessary.

Physical Requirements:

  • Must be able to lift 20+ pounds.
  • Stamina to work seated at a desk/computer station environment that requires repetitive motions. Involves sitting, standing, walking, talking, hearing, using hands to handle or operate objects, tools or controls, and reaching with hands and arms.
  • Prolonged standing and sitting.
  • Frequent bending, stooping and stretching.

As with all positions of the Lower Elwha Housing Authority this position is Indian Preference in hiring.
