Description

The Client Operations Specialist reports to the Client Operations Manager. The Client Operations Specialist will provide administrative support and pet care support and services, as necessary.

Essential Functions: Tasks, Duties, Responsibilities

Administration

  • Primary source for company incoming communications (voice, text, email)
  • Primary source for company outgoing communications (voice, text, email)
  • Maintain company database
  • Source jobs for same day or next day
  • Document all issues and relay information to appropriate personnel
  • Schedule client services
  • Onboard New Clients
  • Ensure quality customer service
  • Carry out other administrative tasks including, but not limited to copying, filing, document creation, file creation, keys and lockboxes

Customer Service

  • Remain focused on customer service
  • Go above and beyond to provide the best service possible
  • Remain professional on the phone and in person
  • Ensure follow up with clients within 24 hours
  • Mentor client operations new hires

Pet Care Responsibilities (as needed during your scheduled work hours)

  • Substitute for pet care staff as needed
  • Provide responsible care to a variety of animals
  • Document every visit
  • Self-manage time and schedule
  • Clean up after pets as necessary
  • Use problem solving skills in unusual or different circumstances
  • Follow through and complete assigned jobs
  • Carry out other duties as assigned

Deliverables (reports and project status updates)

No periodic reports are currently required for this position. However, special tasks may be assigned at any time. The employee is required to report on the status of these tasks on a regular basis, as noted in the assignment.

 
Position Requirements

Essential Functions: Skills

  • Strong Microsoft Office Suite skills; must be able to work independently in Word and Excel
  • Strong oral and written communication skills
  • Excellent organizational and technical skills
  • Strong attention to detail
  • Ability to handle confidential information and materials with discretion
  • Knowledge of office administration procedures
  • Ability to operate standard office equipment
  • Quickly adapts to technical, process, policies and procedures change
  • Flexible team player with the ability to prioritize competing deadlines and tasks
  • Ability to work independently or as part of a team

Education and Qualifications

  • High school diploma
  • Three (3) years of office related experience
  • Type 40 plus words a minute
  • Customer service experience a plus
  • Must be able to work evenings and weekends
