What You Will Be Doing
The receptionist acts as the concierge for Boundless—providing the public with the first impression of our organization and helping guests in the most friendly and efficient manner possible. This position must utilize excellent customer service skills in doing so. This position also provides general office support, regularly performing various clerical activities and related tasks while answering telephones, receiving the public, security oversight, and providing customer assistance. This position will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, correspondence flow, welcoming guests, and additional clerical duties in support of the executive and leadership teams.

Essential Functions

  • Greet and welcome incoming guests. Receive the public and answer questions. Respond to inquiries from employees, citizens, and others and refer, when necessary, to the appropriate Director, Manager, or department. Ensure everyone receives a positive first impression of our agency.
  • Be a helpful voice for callers answering and managing multiple phone line system. Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information. Always speak respectfully and seek ways to help them.
  • Ensure constant coverage for the front desk area.
  • Perform administrative tasks and provide clerical assistance and project support for Vice Presidents and Directors. Prepare correspondence, reports, and documents as directed by the Executive Assistant.
  • Open and distribute mail for the office. Ensure delivery of other mail and correspondence to satellite buildings.
  • Responsible for ordering and maintaining supplies for the office and organizing and managing supplies.
  • Maintain cleanliness and organization of front desk and front lobby.
  • Maintain a supply of information packets, flyers, and brochures for Boundless and our services on display in the front lobby.
  • All other duties as assigned.

Required Education and Experience

  • High school diploma/equivalent.
  • Two to four years of experience handling general office practices such as typing, filing, answering phones, or related tasks.
  • Two to four years of experience in customer service.
  • Two to four years of experience in administrative assistance.
  • Strong experience with Microsoft Office Suite.

Preferred Education and Experience

  • Associates Degree.
  • Experience working with or for people with complex needs.
