Reporting To: Division Senior Operations Manager
Status: Non-Exempt, Full-Time
Salary: $26.00-$28.00 Hourly

EMPLOYEE OWNER POSITION PURPOSE:

The Community Support Specialist is responsible for providing exceptional customer service and quality administrative support to both internal and external clients, including, but not limited to: partnering with the Community Association Manger (CAM) and homeowners, performing special projects/research, and various coverage (i.e., phone/reception).  This role also supports general facilities/maintenance needs in the community, such as event setup and teardown.  These tasks require a reasonable amount of ongoing physical work (in addition to standard office administration).

JOB DUTIES AND RESPONSIBILITIES:

  • Greet visitors quickly, warmly, and provide an ongoing exceptional experience for all guests, homeowners, and fellow employee-owners
  • Respond to phone inquiries using information/guidance from association manuals, CC&Rs, Rules & Regulations, and other administrative documents/electronic databases for the community
  • Maintain and enforce clubhouse and community rules, regulations, and standards
  • Assist in maintaining various activity schedules; this includes making entries and detecting possible facility scheduling conflicts
  • Participate in community meetings and trainings (including from our Corporate office)
  • Receive, prepare, and maintain various association/clubhouse documents and file community/homeowner records and association facility reservations
  • Attend periodic community meetings for minute taking, and others (such as annual) to assist with balloting and check-in, as approved by your Supervisor
  • Assist CAMs with meeting follow-up action items, including compliance letters (including one-offs)
  • Manage communication for basic emergency vendor needs in the absence of the Community Manager (i.e. calling the designated plumber)
  • Program and generate various reports for our programmed gates, remotes, and other access devices
  • In coordination with CAMs, setup and maintain association information (Call-To-Action text, CC&R text, etc.) via the Company’s proprietary software program
  • Perform compliance inspections of the community
  • Perform various facilities support, such as: event setup and teardown (this may include relocating large numbers of décor and/or folding chairs/tables with carts/dollies and related duties), as well as participating in preplanning, day of, and follow-up needs
  • Perform ongoing general safety and status reviews for the facility; immediately bring concerns to Community Manager
  • Performs a variety of cleaning/maintenance duties as assigned including but not limited to sweeping, mopping, dusting, polishing, trash disposal.
  • Assist in overseeing the community website to include edits, additions and maintain content accuracy as directed.
  • Assist CAMs with special projects for association needs, including research and custom administrative work; this may include participating in occasional site inspections
  • Prepare and mail compliance notices produced from site inspections and assist with the mailing of notices, newsletters, and flyers for internal and external needs
  • Creating and upkeep of spreadsheets pertaining to clubhouse maintenance checklist.
  • Setup, direct and/or cleanup for Clubhouse/association events.
  • Maintain neat appearance of lobby, bar, reception desk and kitchen areas.
  • Inspects all assigned areas daily and reports all cleaning and maintenance discrepancies to Supervisors.
  • Ensures all safety precautions are followed while performing work.
  • Other duties and special projects as assigned

QUALIFICATIONS:

  • High School Diploma (or equivalent); Associate’s Degree preferred
  • Proficiency in administrative support – generally between 1-4 years, depending on the position level
  • Solid knowledge of Microsoft Outlook, Excel, and Word; intermediate skills a plus
  • Conflict resolution skills
  • Ability to meet deadlines and address time-sensitive issues
  • Superior multi-tasking skills
  • Excellent written and verbal communication
  • Ability to provide high-level customer service with astute attention to detail and organization
  • Must be a team player
  • Ability to manage workflow amid shifting priorities
  • Willing to learn Company process and procedures, and learn/use proprietary software
  • Adaptable and dependable with a solid attendance record
  • Professional and respectful demeanor with all internal and external customers at all times

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including: computer, phone, copier/scanner, etc.
  • Be stationary for periods of time
  • Relocate up to (25) pounds
  • Travel to and from offsite locations

SCHEDULE & TRAVEL:

  • 5 DAYS PER WEEK from approx. 8:00 am-5:00 pm
  • This position may require occasional long hours to meet business needs
