Job Summary:
This position provides high-level administrative support to the VP of IT Security Compliance and Technology, with an appropriate level of professionalism and attention to detail. In addition, the position is responsible for conducting research, preparing presentations, handling information requests, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position requires communication and collaboration with other executive offices in the organization.

Essential Duties and Responsibilities
The following duties and responsibilities are a summary of the essential functions of the job. Other duties might be performed, both major and minor, which are not mentioned below. Specific activities could change periodically.

•    Provides reactive support to the VP of IT Security Compliance and Technology, as needed.
•    Assists in daily organizational, filing, scheduling, and workflow tasks. 
•    Answers incoming calls, takes messages and/or routes calls as appropriate.
•    Processes all travel and expense reports in a timely and efficient manner.
•    Reconciles monthly credit card statements.
•    Processes incoming mail and organizes, routes, and distributes appropriately.
•    Processes check requests, wires transfers, and other internal requisitions.
•    Collaborates with Travel Coordinator in travel preparations for the VP of IT Security Compliance and Technology.
•    Assists with board meeting preparations including setup/dismantle of boardroom, board reports, and other duties as assigned.
•    Organizes meetings and events, virtual or otherwise, and assists in planning and preparing agendas and meeting notes, as requested.
•    Prepares departmental policies and procedures documentation.
•    Conducts research, updates spreadsheets, and creates documents and visual presentations using a variety of applications.
•    Other duties as assigned.

Education and Experience
•    Associate degree or equivalent from two-year college or technical school required; bachelor's degree preferred
•    5 years related executive support experience in technological and communications environments and/or training preferred
•    Or equivalent combination of education and experience

Language Ability
•    Ability to read, analyze, and interpret general business-related materials, technical procedures, government regulations, general instructions, and procedures.
•    Ability to write business correspondence, reports, general instructions and technical procedures, and reports.
•    Excellent writing skills, including grammar, spelling, and punctuation.
•    Ability to speak effectively before groups of customers or employees of the organization.


Math Ability
•    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
•    Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Reasoning Ability
•    Ability to follow instructions furnished in written, oral, or diagram form.
•    Ability to deal with problems involving a few concrete variables in standardized situations.


Organizing, Planning, and Prioritizing Work
•    Ability to develop specific goals and plans to prioritize, organize, and accomplish work.
•    Ability to maintain flexibility to deal with frequent changes in priorities.


Computer Skills
•    Intermediate to advanced knowledge of Office 365 productivity tools, Teams, OneDrive, SharePoint, Visio, Zoom, and Adobe Acrobat Professional.
•    Ability to learn diverse desktop and cloud applications.
•    Ability to perform some statistical functions and create graphs and presentations.


Additional Skills
•    Ability to pay close attention to detail for accuracy and thoroughness in completing work.
•    Ability to keep privileged information confidential.
 
Work Environment
•    The noise level in the work environment is usually moderate.
•    Ability to work collaboratively and effectively with teams.


Physical Demands
•    Regularly required to sit, use hands, and talk or hear.
•    Ability to lift 25 pounds.
