Description

The Office Administrator is responsible for supporting the Palmer Holland organization and Employee Experience department by performing administrative services, including acting as the primary point of contact to internal and external contacts in the Corporate Office lobby.

Essential tasks of the position:

The Office Administrator serves as a primary point of contact related to the daily oversight of office administrative tasks and documentation, including but not limited to:

Office Administration

  • Visitor and business guest greeting, check-in, and assistance as needed.
  • Screens calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging.
  • Responsible for management of office supply inventory, or other routine processes including the delivery of internal and external mail and shipments.
  • Reads and answers correspondence, written and electronic (including faxes), including the handling of sensitive and/or confidential information when appropriate.
  • Assists management with administrative tasks such as tracking and compiling information of interest as needed

Documentation & Records

  • Helps collect and prepares various reports and documents detailing the administrative information as needed including but not limited to in-office communication list and anniversary and birthday calendar(s)
  • Prepares and distributes reports, material, or other communications on a regular schedule.
  • When needed, aids in presentation materials utilizing word processing, spreadsheet, CRM, and/or other systems as needed.
  • Maintains files, databases, document maintenance (DMR) and archives of relevant records.
  • Performs designated EET and HR activities, process checklists, and workflow activities in support of internal employee changes as assigned.

Administrative Support

  • Schedules and coordinates meetings, travel, and other group activities.
  • Provide executive assistance and support when needed
  • Supports scheduling of organizational and EET departmental scheduling, including new hire scheduling.
  • Supports internal employee events and activities in partnership with EET team members, including but not limited to bereavement, get well, and/or congratulatory gifts for employees as appropriate.
  • Additional ad hoc administrative support as dictated by business need.

Quality

Activities of the position affect quality including quality and the quality objectives. Responsibilities and authorities include where appropriate:

  • Initiating action to prevent the occurrence of any nonconformities relating to product, process, or quality system, up to and including when necessary, stopping production to correct quality problems.
  • Identifying and recording any problems relating to the product, process, and quality system.
  • Documenting problems, steps taken for resolution and preventative action in CRM software and notifying all parties required.
  • Initiating, recommending, or providing solutions through designated channels.
  • Verifying the implementation of solutions in areas under your control.
  • Controlling further processing, delivery, or installation of nonconforming product until the deficiency or unsatisfactory condition has been corrected.
  • Performing duties and tasks as prescribed in company policies, procedures, and work instructions.

Requirements:

Education: 

  • High school diploma required.
  • Four-year bachelor’s degree in related field preferred but not required.

Experience:

  • Minimum of 1 to 3 years proven work experience in related discipline.

Knowledge/Skills:

  • Intermediate level of expertise in MS Office and Contact Management Software
  • Excellent verbal and written communication abilities
  • Detail oriented with strong, accurate clerical skills
  • Ability to thrive and work in fast-paced environment
  • Proactive problem solver
  • Ability to maintain professional conduct that always exemplifies the corporate policies, particularly when interacting directly with internal and external customers
  • Ability to handle sensitive information with confidentiality and discretion
